Schedule: Hybrid 4 days onsite, 1 day remote, with flexibility to 5 days as needed

About the Opportunity
A highly respected investment firm is seeking an exceptional Executive Assistant / Personal Assistant to support its Founder and CEO. This is a rare opportunity to serve as the trusted right hand to a highly accomplished executive in a dynamic, entrepreneurial, and rapidly growing organization.
The successful candidate will become a strategic administrative partner to the CEO, operating as an extension of the executive office and helping drive efficiency, execution, and organization across a broad range of business and personal matters. This role requires exceptional judgment, discretion, and the ability to anticipate needs before they arise.
The ideal candidate is proactive, highly organized, solutions-oriented, and energized by operating in a fast-paced environment where priorities evolve quickly and no two days look the same.
Executive Support
- Serve as the CEO's primary administrative partner and first point of contact for executive support matters
- Manage a highly complex and constantly evolving calendar, ensuring priorities align with business objectives
- Coordinate extensive domestic and international travel, including commercial and private aviation logistics when applicable
- Prepare meeting materials, agendas, briefing documents, and follow-up action items
- Manage communications on behalf of the CEO with professionalism, discretion, and sound judgment
- Act as a gatekeeper and representative of the executive office, helping prioritize requests, meetings, and commitments
- Anticipate challenges and proactively implement solutions before issues arise
- Ensure the CEO remains focused on the highest-impact priorities
Strategic Partnership
- Develop a deep understanding of the CEO's priorities, communication preferences, and decision-making style
- Independently research issues, gather information, and present recommendations and solutions
- Drive projects and action items to completion while maintaining accountability across stakeholders
- Partner closely with senior leadership and key internal teams
- Track commitments, deliverables, and follow-ups to ensure nothing falls through the cracks
- Handle highly confidential information with the utmost discretion and professionalism
Personal Support
- Coordinate select personal and family-related matters for the CEO and spouse
- Manage travel logistics, reservations, scheduling, and occasional personal projects
- Adapt quickly to changing priorities and evolving schedules
- Serve as a trusted resource for both professional and personal matters as needed
Qualifications
- 10+ years of experience supporting founders, CEOs, senior executives, investment professionals, or high-net-worth individuals
- Prior experience within investment management, private equity, hedge funds, family offices, financial services, or similarly demanding environments strongly preferred
- Demonstrated success serving as a true right hand to a senior executive
- Exceptional organizational skills and meticulous attention to detail
- Strong business judgment and ability to operate independently
- Outstanding written and verbal communication skills
- Proven ability to manage multiple competing priorities with composure and accuracy
- Experience coordinating complex international travel and detailed itineraries
- Exposure to private aviation logistics and expense allocation is helpful but not required
- Unquestionable integrity and discretion when handling confidential matters
