Summary
The Office Administrator works with all departments to advance ArcGNO’s mission by serving as the first point of contact for incoming calls to the agency. They are tasked with maintaining a courteous and helpful attitude toward all visitors at the ARC of Greater New Orleans. They are responsible for maintaining office supply levels at the agency’s administrative building.
Essential Job Functions
Provides administrative and clerical support for the agency as the agency phone operator
Assists in the distribution of agency-wide communications, including calendars and memoranda
Assists with volunteer sign-in/out process
Greets all people arriving at the Metairie location; screens all calls, troubleshoots if possible, and directs them accordingly, when appropriate
Ensures adequate inventory of office and first aid supplies
Maintains copy room, including paper stock, recycle bin, copier ink, and setup of individual mailboxes
Maintains conference room calendar and scheduling
Checks for mail and faxes daily and processes and distributes faxes and confirmation documents
Reproduces documents and maintains copy supply inventory; maintains the supply of standards forms in agency black box

Education/Experience Requirements
Prior experience as an office administrator or administrative assistant preferred
Prior experience managing inventory including purchasing
Ability to multi-task at a high level
Ability to interact with people consistently and thoughtfully
Must have prior experience working with computers and general technology including printers, laminators, and other standard office equipment
