We’re seeking a dynamic, proactive and highly organized Executive Assistant to support a senior executive in a very busy organization. This is not your traditional Executive Assistant role, while there will be the “traditional” EA responsibilities, this role is much more and requires someone who has experience driving business, project administration, and creating enticing presentations used for a variety of audiences and committees. We are looking for individuals who can demonstrate strong business acumen, emotional intelligence, driving projects through to completion.

Key Responsibilities:

Executive Support: Manage complex calendars, schedule meetings, and coordinate travel arrangements, ensuring smooth and efficient operations for the executive’s extended team

Expense Management: Track and process expense reports, ensuring timely and accurate submissions.

Project Administration: Assist in the management and tracking of key projects, collaborating with teams to ensure deadlines are met and milestones are achieved. Holding teams accountable for deadlines and ensuring communication is maintained.

Presentation Creation: Develop visually appealing and impactful PowerPoint decks and other presentation materials, ensuring content is concise, clear, and professional.

Communication & Coordination: Act as a liaison between leadership and internal/external stakeholders, maintaining clear communication and smooth workflows.

Qualifications:

3-10 years of experience as an Executive Assistant or in a similar administrative support role.

Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).

Experience with travel coordination and expense management.

Excellent communication skills, both written and verbal.

High attention to detail and ability to manage multiple tasks efficiently.

Creative and capable of designing engaging presentations that resonate with audiences.

Ability to maintain confidentiality and handle sensitive information.

A proactive, solution-oriented mindset with a strong ability to anticipate needs and problem-solve.
