We are actively looking for a highly organized and tech-savvy Executive Assistant to join our team and provide comprehensive support to our executives. The ideal candidate should reside in or around Makati City or BGC, Taguig City, possess exceptional organizational skills, and excel at research tasks. This role plays a crucial part in ensuring the efficient operation of our office and supporting our dynamic leadership team.
Key Responsibilities:
Administrative Support:
Manage executives’ calendars, schedule appointments, and coordinate meetings
Arrange travel itineraries, accommodations, and logistics
Handle phone calls, emails, and correspondence on behalf of the executives
Prepare and proofread documents, reports, and presentations
Research and Analysis:
Conduct in-depth research on various topics, industry trends, and competitors
Compile and present data and reports to aid decision-making
Technology and Tools:
Proficiently use tools like Google Workspace, Microsoft Office, Slack, and Zoom
Assist in creating impactful presentations for internal and external audiences
Collaborate with IT support to resolve technical issues as needed
Ensure laptops and office equipment are securely stored in the company’s storage room, not in personal residences
Communication and Coordination:
Act as a liaison between executives and internal/external stakeholders
Draft and distribute communications with professionalism and clarity
Organization and Operations:
Maintain a cloud-based filing system for documents and records
Streamline processes and implement best practices to enhance efficiency
Prioritize tasks effectively and ensure deadlines are consistently met
Local Errands:
Run errands, such as but not limited to, banking transactions, handling company paperwork, picking up/shipping laptops, and coordinating with vendors in Makati City or BGC, Taguig City
Assist with personal tasks, such as picking up dry cleaning and managing personal affairs
Confidentiality:
Handle sensitive information with the utmost discretion and ensure compliance with data privacy regulations
Requirements
Must live in or around Makati City or BGC, Taguig City to ensure ease of accessibility and avoid travel-related expenses
Must be currently employed with no significant gaps in recent employment history
Minimum of 5 years of experience as an Executive Assistant in a large or international organization
Strong research, organizational, and multitasking skills
Proficient in tools like Google Workspace, Microsoft Office, Slack, and Zoom
Willingness to assist with both business and personal tasks
Must pass a background check
Provide two professional and two personal references
Note this role requires local errands and research to be done in Makati and Taguig
