Role SummaryAs our Executive Assistant, you will be the backbone of our team, offering comprehensive administrative support to ensure efficient day-to-day operations. Your role is crucial in maintaining a professional environment, facilitating seamless communication, and coordinating activities effectively. This position is perfect for individuals looking to enhance their administrative skills within a vibrant, professional setting.

Key ResponsibilitiesHandle expense reports, including preparation, submission, and tracking for our team.

Manage procurement tasks such as creating commitment requests, processing invoices, and ensuring accurate goods receipt.

Ensure proper management of contracts and agreements by uploading fully executed documents into our management system.

Draft, edit, and proofread various documents, including memos, correspondence, and presentation materials.

Oversee meticulous calendar management for designated team members, coordinating large-scale meetings and ensuring smooth communication among parties.

Organize conference registrations and professional organization memberships.

Support both corporate and personal scheduling needs, including travel arrangements and appointments.

Coordinate the logistics of meetings and events, collaborating with administrative staff across locations to ensure successful execution.

Take initiative on follow-up actions from meetings, including minute-taking and document distribution.

Arrange comprehensive travel itineraries using approved vendors and handle real-time travel issues as they arise.

Required Skills And ExperienceHigh School Diploma required; Bachelor’s degree preferred.

Proficiency in Microsoft Office suite and familiarity with teleconferencing tools.

Exceptional attention to detail, direct communication, and strong interpersonal skills.

Experience managing complex travel arrangements and organizing all aspects of meetings.

Ability to see the big picture while focusing on the details.

Professional representation, initiative, flexibility, and problem-solving aptitude.

Experience in a similar role, particularly within pharmaceutical or international business environments, is highly regarded.

Familiarity with Concur and experience working with remote, international teams in a globally matrixed organization are advantageous.
