We are hiring a Personal Assistant to support the day-to-day operations of a sustainable property development group in Bali.

This is a role for someone who is proactive, highly organised, and takes genuine ownership of their work. You'll work closely with the COO, helping keep the business running efficiently by managing administration, contracts, HR processes, compliance, and office operations.

We're looking for someone who enjoys solving problems, has exceptional attention to detail, and can be trusted to stay one step ahead. This is a fast-paced environment where no two days are the same, so flexibility and a positive attitude are essential. Occasionally, you'll also need to be available outside of standard office hours when business requires it.

Key ResponsibilitiesExecutive & Office Support

  • Provide day-to-day administrative support to the COO.
  • Manage calendars, meetings, travel arrangements, and business correspondence.
  • Ensure the office operates efficiently by coordinating supplies, equipment, maintenance, and service providers.
  • Manage office expenses, petty cash, and company asset registers.
  • Liaise with vendors, contractors, and external partners.
  • Assist with general business administration and ensure tasks are completed accurately and on time.

Contracts & Business Administration

  • Prepare, review, and manage lease agreements, reservation agreements, and other company contracts.
  • Maintain organised records of contracts and company documentation.
  • Ensure agreements are updated, renewed, and compliant with company policies.
  • Coordinate with the finance team regarding contract documentation and payment tracking.

Human Resources

  • Coordinate recruitment, including job postings, interview scheduling, and onboarding.
  • Prepare employment contracts, offer letters, and HR documentation.
  • Maintain employee records, attendance, and leave records.
  • Prepare official HR correspondence, including reference letters, warning letters, and other employment documentation.
  • Support compliance with company policies and Indonesian labour regulations.

Legal, Immigration & Compliance

  • Coordinate KITAS and visa applications and renewals for expatriate employees.
  • Register and maintain BPJS Kesehatan and BPJS Ketenagakerjaan for local employees.
  • Liaise with government agencies and external consultants regarding employment and immigration matters.
  • Maintain accurate company records and ensure administrative compliance.

Qualifications

  • Previous experience as a Personal Assistant, Executive Assistant, Office Administrator, or in a similar role.
  • Highly organised with exceptional attention to detail.
  • Strong sense of ownership, accountability, and initiative.
  • Excellent written and verbal communication skills in both English and Bahasa Indonesia.
  • Experience with HR administration, contracts, or legal documentation is highly desirable.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Flexible and willing to support business needs outside of standard office hours when required.
