Position Title: Program Administrative Manager
Summary:
Reporting to the Chief Administrative Officer (CAO), the Program Administrative Manager will coordinate, and support Events Management, Meeting Management, Public Relations, and Communications efforts for the Louisiana Cancer Research Center. Success in this position requires a team-oriented attitude, excellent interpersonal and communication skills, attention to detail, and organizational aptitude. The Program Support Manager acts as a crucial link to LCRC programs; ensuring smooth operations, providing support, and contributing to the overall success of the programs.
The Louisiana Cancer Research Center (LCRC) was created by the Louisiana legislature to promote education and conduct research in diagnosis, detection, and treatment of cancer. LCRC is consortium partnership which includes LSU Health in New Orleans, Tulane University Health Sciences Center, Xavier University, and Ochsner Health.
Specific duties may include:
Programmatic Oversight
Ensures that programs run efficiently, adhere to protocols, and providing support to program leaders
Provides logistical support for programmatic activities, including meeting coordination and communication
Supports internal grant submission & review process
Data management: Maintains accurate records and managing data related to program activities, including tracking membership statistics such as funding and publications
Works closely with program leads and institutional representatives for overall coordination of the LCRC speaker series and annual scientific retreat
Coordinates with other departments and stakeholders to ensure facilitate programs’ success
Communicates accurate and timely program information to stakeholders
Event Management
Coordinates events with internal and external event service providers
Plans and manages logistical details for events of varying sizes, from small internal events to large-scale public gatherings
Manages event budgets and assures adherence to LCRC procedures
Evaluates event success using tools like attendance, participation, surveys, interviews, and publicity.
Point of contact for room scheduling
Project Management
Manages special projects as assigned
Develops and implements project strategies
Prepares, evaluates, implements, and completes action plans; resolves problems; and completes reports/deliverables.
Ensures essential tasks are assigned with clarity throughout project stages
Ensures timely completion of projects
Provides coordination and support for annual report and other team projects
Serves as a resource to partners and team members to ensure successful project or program outcomes
Facilitates the selection of external consultants and vendors as needed for special projects
Manages project and program databases including CRM and/or other data repositories
Cross-trains and serves as back-up to Executive Assistant in coordinating the LCRC’s Board and various executive and committee meetings: may gathering agenda items, preparing meeting minutes, and assist in executing voting decisions and resolutions
Communication/Public Relations
Coordinates, oversees and/or may make minor updates to website content
Coordinates social media efforts and updates
Works with Media and PR management to coordinate the creation and distribution of email blasts, flyers, newsletters, social media updates, and related
Plans, assembles, and maintains contact lists and distribution methods for faculty and researchers, administrators, related committees, members, and the community-at large
Works with and/or oversees annual report and other publication related workgroups
Coordinates efforts and acts as liaison for public relations, communications, and media relations efforts
Administrative
Cross trains and serves as back-up to Executive Assistant in coordinating the LCRC’s Board and various executive and committee meetings: may gathering agenda items, preparing meeting minutes, and assist in executing voting decisions and resolutions
Provides administrative support as needed
Performs related duties as necessary
Required Skills and Abilities:
Organizational Skills: Strong ability to manage multiple tasks and prioritize effectively.
Communication Skills: Effective communication with various stakeholders, both internally and externally.
Customer Service Skills: Providing support and assistance to program participants or clients.
Administrative Skills: Proficiency in managing records, scheduling, and other administrative tasks.
Problem-Solving Skills & Critical Thinking: Identifying and resolving issues that may arise during program implementation.
Required Education and/or Experience
Minimum Bachelor’s Degree required
Three years’ experience in any or all of the following: providing administrative support, meeting and event coordination, project management and/or program implementation.
Preferred Qualifications:
Bachelor’s degree in Communications, Marketing, Digital Media, Project Management, or related
Experience in digital marketing and/or communications
Experience in Events Planning and Program Administration
Strong project management skills with the ability to manage multiple projects
Ability to bring structure to undefined priorities or areas of work
Job Type: Full-time
Pay: $50,000.00 – $68,108.00 per year
