POSITION SUMMARY:

The Executive Assistant will be responsible for providing support to the Chief Operating Officer, Managing Associate and the President & Founder. This position plays a key role in supporting daily operations, ensuring financial accuracy, and providing high-level support across multiple departments. This position requires strong attention to detail, the ability to manage competing priorities, and excellent communication skills to ensure smooth operational and administrative processes.

ESSENTIAL FUNCTIONS:

● Updates daily revenue tracker and monthly partner payment reconciliations.

● Processes and records daily recurring receipts, ensuring accurate and timely updates to client accounts.

● Monitors client funds at case checkpoints.

● Maintains organized filing systems for departmental records and reports.

● Tracks deadlines and deliverables, providing reminders and follow-up support as needed.

● Assists with tracking KPIs, performance dashboards, project milestones, and internal reporting tied to company operations.

● Supports operational workflows by identifying inefficiencies and assisting with process improvement initiatives.

● Conducts research and compiles data to support decision-making and strategic planning.

● Helps coordinate vendor relationships, internal workflows, and key procedural updates.

● Supports coordination of internal audits, process documentation, and departmental SOPs.

● Provides administrative support to Managing Associate as needed, including routinely reviewing and following up on deadlines, calendar appointments and other related tasks.

● Provides coverage to administrative law assistants as necessary, including professionally communicating with clients and monitoring deadlines relating to Arbitration hearings.

● Provides onboarding coverage as necessary, including drafting and sending client contracts as well as running client payments.

● Assists with travel arrangements for employees, including booking hotels and transportation.

● Supports data collection initiatives, special projects, and ad hoc assignments under the direction of the COO, the EVP, and/or the President & Founder.

QUALIFICATIONS & SKILLS:

Two years of full-time related work experience.
Preferred: Bachelor’s degree and experience in the financial industry.
Must have a positive attitude and generally, “play well with others” demeanor.
Must have strong attention to detail and efficient organizational and time management skills.
Can apply logical thinking to define problems, collect data, and draw valid conclusions.
Excellent verbal and written communication skills, with demonstrated ability to articulate relevant information in a concise manner.
Demonstrated ability to work efficiently and independently with minimal supervision.
Exceptional interpersonal skills with experience working with diverse teams and/or audiences.
Self-starter, proactive, creative thinker, and problem solver.
High level of integrity, and respect for confidential and sensitive information.

CULTURE/ENVIRONMENT:

Casual, fun, drama-free work environment.
Frequent computer work at a fast pace in a normal office environment.
Flextime between 6 am and 6 pm, Monday through Friday.

PHYSICAL DEMANDS

Mobility among workstations.
Lifting office supplies and setting up workstations (if necessary).

Pay: $57,000.00 – $63,000.00 per year
