Summary:

This is an in office position

The Executive Coordinator to the Executive Director (ED) provides high-level administrative support to ensure the smooth and efficient operation of the Executive Office. This role is vital to the organization, supporting the ED in managing internal operations, external communications, and strategic initiatives. The ideal candidate is detail-oriented, discreet, proactive, and deeply committed to the mission of our organization.

This position also supports NIJC’s programmatic and operational teams, as necessary. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.

Essential Duties and Responsibilities:

Act as the primary point of contact for internal and external communications on behalf of the Executive Director and executive team.
Handle all communications with professionalism and discretion
Manage the Executive Director’s calendar, scheduling meetings, and appointments
Coordinate and prepare materials for board meetings, donor meetings, and other leadership engagements.
Draft, proofread, and format correspondence, reports, presentations, and other documents.
Act as a liaison between the Executive Director and staff, board members, partners, and donors.
Ensure timely follow-up on action items and communications.
Be a part of our intern committee, assisting with recruiting and onboarding.
Process invoices for the Billing department
Manage various accounts for the organization including rental cars, cell phones, and purchasing accounts
Assist with Human Rights Awards annual event
Assist in planning and executing special projects and organizational events.
Support grant proposal submissions and reporting processes in collaboration with development staff.

Qualifications:

Bachelor’s Degree required
Minimum of 3-5 years of experience as an executive assistant or similar administrative support role.
Nonprofit or mission-driven organization experience strongly preferred.
Excellent written and verbal communication skills.
Perform data analysis and conduct accuracy checks.
Strong organizational and time management abilities.
High level of professionalism, discretion, and confidentiality.
Proficiency with Microsoft Office Suite, including Excel and Pivot Tables
Ability to work independently, manage multiple priorities, and anticipate needs.

The person in this position occasionally needs to move about the inside of the office to access filing cabinets, office machinery, etc.
