Job Summary:
The Executive Assistant will play a crucial support role in the firm, enhancing the effectiveness of their professionals and the overall firm. The ideal candidate will utilise their judgment, discretion, initiative, and organisational skills to manage a wide range of administrative and support tasks which includes complex calendaring of 4-5 board directors, travel arrangements, board meeting logistics, and collaborate closely with team members in order to address potential issues with a sense of urgency and professionalism.
Key Responsibilities:
Provide extensive administrative support through heavy calendaring, coordinating communications, travel arrangements, and expense reimbursements for 4-5 executive members
Prepare confidential and sensitive documents with discretion and accuracy
Meeting Coordination to plan, prepare, oversee, and execute logistics for meetings
Align work to support team goals and collaborate effectively with the team
Anticipate, research, and address potential issues and needs proactively to achieve issue resolution
Listen to team members’ needs, respond and adapt, and build relationships of trust across diverse teams
Assist with various special projects operationally as and when required
Job Requirements:
Minimum of 8-10 years of relevant administrative experience as an Executive Assistant in the private equity/financial services industry
Mastery of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and SAP Concur
Clear, concise, and accurate communication skills
Demonstrated integrity and discretion with high attention to detail, ability to multitask, and work resourcefully in a fast-paced environment
Exceptional organisational and time management skills with the ability to set and achieve priorities amidst frequent status changes
Strong partnering, rapport-building, and relationship management abilities
Ability to balance teamwork with self-direction and initiative to solve problems and deliver results
Positive attitude and capability to work independently as well as part of a team
