JOB SUMMARY

The Executive Assistant plays a key role in supporting the SVP of Government and Community Relations and team in a fast-paced nonprofit environment. This position is responsible for executive administrative support, database management, and operational coordination to enhance advocacy and policy initiatives. The ideal candidate is highly organized, detail-oriented, and tech-savvy, with experience working with elected officials, streamlining processes, and providing executive-level support.

ESSENTIAL FUNCTIONS

Must be able to travel independently. Reliable transportation and a valid driver’s license are required. High amount of mobility is necessary.

Position requires a professional demeanor and an orientation toward customer service with exceptional relationship-building skills.

Position requires extended periods of sitting in an office environment while utilizing a computer, keyboard, mouse, and telephone.

Must have above average communication skills.

Database management experience is required.

PRINCIPAL DUTIES

Provide high-level administrative support to the SVP of Government Relations, including calendar management, meeting coordination, and travel arrangements.

Prepare correspondence, reports, presentations, and meeting logistics/materials.

Serve as a liaison between the SVP and internal/external stakeholders, ensuring timely communication and follow-up.

Assist in preparing Board of Director and Executive Committee materials, including scheduling meetings and tracking action items.

Ensure the Chamber website has updated/accurate information for the Advocacy and Policy webpages.

Coordinate/prepare all correspondence, memos, reports, scheduling, meeting notices, and logistics/materials for meetings as assigned, (including committee meetings, meeting with legislators/partners, Central Oklahoma Regional Advocacy Alliance and the Greater OKC Chamber PAC).

Assist the Vice President and division staff with administrative duties as assigned including the preparation of the legislative guide, annual program of work and budgets, events, and meetings (including registration and invoicing), travel arrangements, payments of invoices and expense reports. Maintain the division’s calendar of appointments and meetings.

Be proficient in all required technology applications utilized/required for the position including the membership software.

Assist in responding to general inquiries from members and staff regarding general governmental or legislative questions.

Other special assignments, as necessary.

College degree preferred.

Must be highly motivated, competent self-starter.

Excellent written and oral communication skills.

Excellent computer skills. Above average attention to detail

Ability to successfully manage a multitude of projects simultaneously. Exceptional organizational skills.

Prior administrative work with elected officials preferred.
