Executive Assistant to CEO Jobs in Remote at UpDoc
Description:
Under the supervision of the Housing Manager, performs assigned duties relating to the data collection and reporting for HOPWA grants.
60% Data Entry Responsibilities
Review, check and process customer data.
Set up new accounts NJDOH system, and ensure the accuracy of the information
Respond to email inquiries and phone calls
Update and maintain customers account records in the database
Update, maintain and upload all HOPWA related data and ensure that monthly, quarterly, annual reports are timely and accurate
Scan required documentation to NJDOH system
Responsible for federal and state data entry deliverables
Assist with ad hoc projects as needed
Generate reports of programs progress.
Generate reports for management and Board of Trustees, as required
30% Reporting /Monitoring
Supports the team in the day-to-day data flow to keep systems updated so Production is on track.
Performing extensive data entry functions, such as order entry and management
Present projects to clients and work with them to strategize and improve the material according to their needs
Ensure confidentiality of all records.
Prepare monthly and Quarterly reports in accordance with agency policies and procedures.
5% Hyacinth representation
Attend and participate in staff meetings and supervisory conferences.
Observe established administrative procedures.
Provide written reports and maintain statistics as required.
Represent the agency at community events, meetings, and conferences.
Attend and participate in staff training opportunities.
Participate in evaluation activities based on program goals and objectives.
5% Training and certifications
Bachelor’s degree preferred, but if no degree but has exceptionally suitable skills, will be considered if he/she has four additional years of relevant experience.
Experience with MS Office, Outlook and data programs
Successful and demonstrated completion of all program-related Trainings
Requirements:
Required Minimum Education:
Bachelor’s degree or relevant experience
Required Years of Related Experience: 1-2 years
Data entry
Required Knowledge, Skills and Abilities:
1. Working knowledge of HTML, CSS, and JavaScript development and constraints
2. Must have solid experience working in Excel and Outlook
3. Demonstrated ability to work with people from diverse backgrounds and interests
4. Proficiency in written and verbal communications
5. Access to currently registered car and a valid driver’s license
6. Proven experience as data entry assistant
7. Fast typing skills; Knowledge of touch-typing system is strongly preferred
8. Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.)
9. Working knowledge of office equipment and computer hardware and peripheral devices
10. Basic understanding of databases
