About the Role
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to work directly with the CEO and act as a trusted partner in managing executive priorities, business operations, and strategic initiatives.
The ideal candidate will be responsible for ensuring smooth day-to-day operations, effective communication across departments, timely execution of tasks, and seamless coordination with internal and external stakeholders. This role requires exceptional organizational skills, ownership, confidentiality, and the ability to thrive in a fast-paced entrepreneurial environment.

Key Responsibilities
Executive Support
– Manage and maintain the CEO's calendar, appointments, and travel schedules.
– Coordinate internal and external meetings, including agenda preparation, meeting reminders, and follow-ups.
– Draft, review, and manage business correspondence, presentations, and reports.
– Maintain records, documentation, and confidential information with utmost discretion.
– Track action items and ensure timely closure of assigned tasks.
Stakeholder & Business Coordination
– Coordinate with customers, vendors, investors, leadership teams, and external partners.
– Act as a communication bridge between the CEO and various departments.
– Follow up on key business priorities and ensure accountability across teams.
– Organize leadership meetings, investor meetings, and business reviews.
Recruitment & HR Coordination
– Support recruitment activities including candidate sourcing, resume screening, and interview scheduling.
– Coordinate with hiring managers throughout the hiring process.
– Manage candidate communication and ensure a smooth interview experience.
– Maintain recruitment trackers and hiring records.
Administrative Management
– Prepare and manage expense reports and reimbursements.
– Handle office administration and operational coordination as required.
– Manage documentation, filing systems, and process tracking.
– Support special projects and strategic initiatives driven by the CEO.
Qualifications
– Bachelor's Degree in Business Administration, Human Resources, Communications, or a related field preferred.
– 2–5 years of experience as an Executive Assistant, Executive Coordinator, HR Coordinator, or similar role.
– Prior experience supporting Founders, CXOs, or Senior Leadership Teams is highly preferred.
– Strong proficiency in Microsoft Office Suite, Google Workspace, and productivity tools.
– Excellent written and verbal communication skills.
– Strong organizational, multitasking, and problem-solving abilities.
– Ability to handle confidential information with professionalism and integrity.
– High ownership mindset with strong follow-up and execution capabilities.
