Executive Assistant

As the Executive Assistant to the Chief OmniRetail Officer, you will be responsible for providing high-level administrative support to the C-level executive and ensuring the smooth operation of the office. You will be expected to handle a wide range of administrative and executive support tasks, exhibit strong organizational and time management skills, and maintain a high level of professionalism and confidentiality.

Responsibilities:

1. Calendar Management: Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

2. Communication: Serve as the primary point of contact for internal and external stakeholders, including screening and prioritizing communications, managing email, and handling inquiries on behalf of the executive.

3. Meeting Coordination: Coordinate and prepare materials for meetings, including agendas, presentations, and supporting documents. Attend meetings, take minutes, and follow up on action items as needed.

4. Travel Arrangements: Arrange travel itineraries, accommodations, and logistics for business trips, ensuring cost-effectiveness and efficiency.

5. Administrative Support: Handle administrative tasks such as expense reports, document preparation, filing, and record-keeping. Prepare reports and presentations as required.

6. Project Support: Assist with special projects, research, and other initiatives as directed by the executive, providing support in planning and execution.

7. Relationship Management: Build and maintain strong relationships with key stakeholders, both internal and external, on behalf of the executive.

8. Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

9. Office Management: Oversee the smooth operation of the executive’s office, including ordering supplies, coordinating maintenance, and managing other administrative staff as necessary.

10. Problem-Solving: Anticipate and proactively address potential issues and challenges that may arise, providing solutions and support to ensure the executive’s effectiveness and productivity.

Qualifications:

1. Proven experience as an Executive Assistant or similar role, supporting C-level executives in a fast-paced environment.

2. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.

3. Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization and external contactsboth in French & English is mandatory

4. Proficiency in Microsoft Office and other relevant software applications, with the ability to create and edit presentations, reports, and correspondence.

5. Discretion and trustworthiness, with the ability to handle confidential information with sensitivity and professionalism.

6. Bachelor’s degree in business administration, management, or a related field is preferred but not mandatory.
