We are looking for an exceptional individual to join our team as an Executive Assistant to the Chief Operating Officer. This role is designed for a proactive, self-motivated professional eager to contribute both to day-to-day administrative tasks and special project initiatives. The ideal candidate will possess strong problem-solving and critical thinking abilities, thrive in a fast-paced environment, and support the growth of an evolving and dynamic team. This position is based in New York City.
Key Responsibilities:
Manage the COO’s calendar, scheduling internal and external meetings
Serve as a liaison between the executive team and key stakeholders, including clients, investors, partners, board members, and department heads
Prepare and organize materials for meetings, create and edit presentations, spreadsheets, and other documents as required
Collaborate with assistants across the company to manage logistics for meetings, projects, and special assignments
Track project progress and KPIs, acting as the go-between for the COO and the Operations team
Coordinate business travel, including itinerary creation and travel arrangements
Handle expense reports and process vendor invoices when necessary
Support both individual and team-driven special projects
Assist with ad-hoc requests related to job duties and personal tasks

Quick thinker and learner, able to navigate a fast-paced, rapidly changing environment
Strong ability to manage multiple tasks, meet deadlines, and take ownership of responsibilities
Collaborative mindset with the ability to work effectively with a diverse team; experience in people and light project management is a plus
Flexible, adaptable, and eager to learn with a willingness to accept and apply constructive feedback
Highly detail-oriented with excellent time management and organizational abilities
Demonstrates professionalism, integrity, discretion, and confidentiality
Anticipates the needs of executives, teams, and the organization
Tech-savvy and resourceful in problem-solving
Proactive, positive, and energetic with a “can-do” attitude
Outstanding written and verbal communication skills
Proficiency in Microsoft Office Suite, including Excel
Qualifications:
Minimum 4 years of experience supporting senior executives, ideally in the finance or investment sectors
Experience in a high-paced, C-level support role preferred
Bachelor’s degree is a plus but not required
