Summary of Position:
We are looking for a detail-oriented and highly organized Executive Assistant to manage the administrative and operational tasks of our HR manager and CEO. This role ensures seamless daily operations and effective communication across teams. The ideal candidate is a proactive problem solver with exceptional communication skills and a strong ability to multitask in a fast-paced environment.
Key Responsibilities:
Executive Support:
Manage complex calendars, schedule meetings, and coordinate appointments for the HR Manager and CEO.
Organize travel arrangements, including flights, accommodations, and itineraries.
Prepare presentations, reports, and correspondence for executive meetings.
Attend key meetings, take notes, and ensure follow-up on action items.
Human Resources Assistance:
Assist the HR Manager with recruitment processes (scheduling interviews, communicating with candidates, etc.).
Support employee onboarding, document management, and maintain HR records.
Collect and review hourly employees’ timesheets weekly for accuracy.
Coordinate team events, training sessions, and wellness initiatives.
Handle sensitive information with professionalism and confidentiality.
Project Management:
Coordinate cross-functional projects and initiatives in support of company growth.
Track deadlines, deliverables, and milestones for ongoing projects.
Serve as a liaison between HR, executive leadership, and other internal stakeholders.
Communication & Coordination:
Serve as a point of contact between the CEO and internal/external stakeholders, handling correspondence with discretion.
Draft and proofread emails, communications, and internal announcements.
Maintain strong communication channels between departments to ensure alignment of key priorities.
Office Management:
Oversee office operations, supplies, and technology needs, ensuring a productive work environment.
Manage incoming mail, shipments, and vendor communications.
Support planning and execution of company-wide meetings, town halls, and virtual conferences.
Required Skills & Qualifications:
Bachelor’s degree in Business Administration, Human Resources, or related field (or equivalent experience).
3+ years of experience as an Executive Assistant, preferably in a fast-paced environment.
Strong organizational and multitasking abilities.
Exceptional written and verbal communication skills.
Proficiency with office software (Microsoft Office, Google Workspace, etc.).
Experience in managing sensitive and confidential information with discretion.
Ability to prioritize tasks and work independently with minimal supervision.
Preferred Qualifications:
Experience supporting both HR and executive leadership.
Familiarity with project management tools and techniques.
Knowledge of HR processes, policies, and best practices.
