About the Role: We are seeking a proactive and highly organized Executive Assistant (EA) to support three senior partners/principals in a fast-paced and dynamic environment. The ideal candidate will be an exceptional communicator with the ability to handle multiple responsibilities, including calendar management, travel coordination, and preparing materials for meetings, all while maintaining professionalism and discretion.
Key Responsibilities:
Calendar & Schedule Management: Efficiently manage and prioritize complex schedules for three senior partners, including coordinating internal and external meetings, travel arrangements, and appointments. Proactively resolve scheduling conflicts and anticipate needs based on executives’ energy levels and priorities.
Travel Coordination: Organize detailed travel itineraries, including flights, accommodation, ground transportation, and meeting logistics, ensuring all travel plans run smoothly and on time.
Meeting & Event Coordination: Plan and manage logistics for internal and external meetings, including preparation of agendas, materials, and action items. Ensure meetings are executed seamlessly by handling catering, room setup, and any other necessary arrangements.
Correspondence & Communication: Draft and edit professional correspondence, including emails, memos, and reports. Act as a central communication point for internal teams and external clients, handling inquiries and ensuring timely responses.
Project Management Support: Assist with ad hoc projects, research, and client-facing materials, ensuring that deliverables are completed on time and with a high degree of accuracy and professionalism.
Administrative Support: Handle administrative tasks such as tracking key performance metrics, maintaining office supplies, coordinating vendor orders, and ensuring the office environment remains well-stocked and organized.
Requirements:
Experience: Minimum of 3-10 years of experience in an Executive Assistant or similar administrative support role, ideally supporting senior executives or partners.
Skills: Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills.
Tech Savvy: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and experience with digital communication platforms such as Slack, Zoom, or similar tools.
Discretion: Ability to handle confidential information with integrity and maintain professionalism in all interactions.
Problem-Solving: Strong critical thinking skills with the ability to anticipate needs and resolve issues independently.
Flexibility & Adaptability: Ability to work efficiently both independently and as part of a team, adjusting to changing priorities as necessary.
