Venture capital firm is looking for an Executive Assistant to support three new Partners on their team. With their recent new fund, this is an incredible opportunity to be part of a mature yet expanding VC firm during this exciting stage and grow alongside the organization! Provide support to the Partners through calendar management, meeting coordination, expense processing, and CRM maintenance. You will also assist with board meetings, liaise with founders and investors, attend events for on-site support, and take on special projects such as competitive research and information sourcing. Someone who brings positive energy to the team, provides white-glove service with a can-do mentality, and is meticulous with following through on details. Previous experience supporting senior leaders, preferably in finance or VC, is preferred. This is an in-office role, 5 days/week, based in Flatiron, New York. 130-145K+ DOE + performance bonus, comprehensive benefits, daily lunch provided, internet/phone stipend, and a collaborative team culture!

Responsibilities:

Provide daily administrative assistance to three Partners.

Handle complex calendar management, including proactive scheduling, meeting preparation, and maintaining daily agendas.

Coordinate all aspects of travel, from booking transportation and lodging to securing travel documents. Stay ahead of changes, arrange dining reservations, and offer helpful suggestions as needed.

Prepare and submit expense reports in a timely manner.

Serve as a reliable liaison for communication with founders, investors, and external stakeholders.

Assist in updating and maintaining the company’s CRM system with notes for relationship tracking.

Support onsite meetings by troubleshooting tech, setting up the conference rooms, and meeting prep.

Partner with other administrative staff to ensure seamless support across the team and provide coverage when needed.

Qualifications:

3+ years of experience as an Executive Assistant or similar role.

Skilled in managing complex calendars, meetings, and travel logistics.

Forward-thinking and highly organized, with the ability to anticipate needs and adjust plans proactively.

Strong work ethic, excellent judgment, resourceful, and results-driven.

Polished, professional, and friendly demeanor, with a strong commitment to high-quality service.

Comfortable working in fast-moving environments with shifting priorities.

Detail-oriented and committed to delivering timely, high-quality work.

Proficient with tools such as Microsoft Office, Google Workspace, and Slack.

Familiarity with CRM platforms and data entry is a plus.

Strong interpersonal communication skills, with the ability to engage effectively across all organizational levels.

Team-oriented, hands-on, and eager to contribute to a collaborative, close-knit group.
