Job Summary:
We are seeking a highly organized, dedicated, and motivated Executive Assistant to provide comprehensive administrative support to a Senior Leader. The ideal candidate will possess a proven track record of working with senior leadership, demonstrating exceptional communication skills, and maintaining the highest level of confidentiality. This role requires a proactive individual who can anticipate needs, manage complex schedules, and handle diverse tasks with efficiency and discretion.
Responsibilities:
Calendar Management: Manage and coordinate complex calendars, scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
Communication Management: Screen and prioritize incoming calls, emails, and correspondence, ensuring timely and professional responses.
Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and ground transportation, ensuring seamless and efficient travel experiences.
Meeting Preparation: Prepare agendas, presentations, and meeting materials, ensuring all necessary information is readily available.
Expense Management: Process and reconcile expense reports, ensuring accuracy and adherence to company policies.
Project Coordination: Assist with special projects and initiatives, conducting research, compiling data, and preparing reports as needed.
Confidentiality: Maintain the highest level of confidentiality regarding sensitive information and business matters.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders.
Documentation and Filing: Maintain organized and efficient filing systems, both electronic and physical.
Ad-hoc Support: Provide general administrative support as needed, including handling mail, ordering supplies, and managing office logistics.
Qualifications:
Bachelor’s degree preferred.
Minimum of 4+ years of experience as an Executive Assistant, with a significant portion of that experience supporting Senior Leader.
Demonstrated experience working directly with Senior Leader is mandatory.
Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.
Excellent written and verbal communication skills, with a professional and polished demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong problem-solving skills and the ability to work independently.
Ability to maintain composure and professionalism in a fast-paced environment.
High level of discretion and confidentiality.
