Job Summary:
The Special Education Office Administrator provides essential administrative support to the district’s Special Education department. This position is ideal for candidates with strong organizational and communication skills who are interested in learning and growing in the field of special education. The administrator plays a key role in maintaining student records, supporting school staff, tracking compliance deadlines, and helping ensure the smooth operation of services for students with disabilities across the district.

Expectations/Duties
Documentation and Record-keeping: Maintain and organize student records, Individualized Education Plans (IEPs), and other special education-related documents. Ensure that all paperwork is up-to-date and compliant with regulations.
Communication: Serve as a communication link between the district office, school-based staff, and parents, relaying information and supporting procedural consistency. Respond to inquiries from parents, staff, and the public with professionalism and a helpful demeanor.
Data Entry: Enter and update data in student information systems, special education management software (training provided), and the Leona Group systems.
Compliance: Monitor timelines and track important due dates related to special education compliance. Work closely with the compliance specialist.
Professional Development: Learn and assist with state and federal documentation requirements related to special education services.
Clerical Tasks: Prepare and distribute correspondence, reports, forms, and other departmental documents. Provide general administrative support to the Special Education Director and other department personnel. Perform general administrative tasks such as filing, answering phones, and responding to emails.
Other duties as assigned.
Requirements
High school diploma or equivalent (required); associate degree or higher (preferred).
At least 2 years of general office or administrative support experience.
Proficiency in Google Suites, and comfortable learning new software systems.
Excellent organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information appropriately.
Willingness to learn about special education laws, practices, and processes.
Ability to work both independently and collaboratively in a fast-paced environment.
Preferred Qualifications (Not Required):
Experience in an educational or school district setting.
Familiarity with special education terms (IEP, 504 Plan, IDEA) is a plus.
Prior experience working with student data systems (e.g., PowerSchool, etc.) is helpful.
Physical Requirements:
Ability to perform tasks that may require sitting or standing for extended periods.
Capability to lift and move office supplies and equipment as needed.
Work Environment:
This position is primarily based in an office setting.
Occasional participation in school events, meetings, or off-site training may be required.
