We are searching an Executive Assistant to the Chairman.
The Executive Assistant will manage Chairman´s agenda and expenses, book and arrange accomodations and travels worldwide, as well as those of senior managers. Also, the EA will report directly to the Chairman and be the Office Manager, provinding administrative support to the team.
This position is for serious, professional and discreet candidates.
Job Responsibilities:
Communication with Management level: handle and respond incoming emails, calls, often correspondence on behalf of the Chairman.
Meeting Coordination: organise, set and support national and international meetings, including preparing agendas, meeting calls, and briefings, if neccessary.
Diary Management: effectively manage the electronic diary, assess appointment priorities, and reallocate as necessary.
Travel Arrangements: organise travels, visas, and accommodations.
Visitor Hospitality: meet and greet visitors at all levels, providing high-quality and professional hospitality.
Secretarial Support: provide high-quality secretarial and organizational support.
Act as a key liaison between senior managers and other parties, maintaining good communications.
Produce documents, reports, presentations and control travel and office expenses.Â
Profile qualifications and skills required
Minimum of three years of experience as a Executive Assistant
Strong knowledge of cloud systemsÙ« online calendars, and other related solutions
Strong organizational and planning abilities.
Ability to quickly assimilate large quantities of written and verbal communication.
High proficiency in Spanish and English. Other languages could be valued.
Excellent personal and team working skills with the ability to collaborate adequately with colleagues.
