Role Description
This is a contract Executive Assistant to the Chairman role at EXHub Holding. As an Executive Assistant, you will be responsible for providing administrative support to the Chairman. Your day-to-day tasks will include tasks such as managing schedules, coordinating meetings, handling correspondence, and preparing expense reports. This is a hybrid role, with the requirement to be present at our Abu Dhabi location, along with the flexibility to work remotely.

Qualifications- Proven experience in Executive Administrative Assistance and Administrative Assistance, ideally within a corporate setting.
– Demonstrated ability to manage and prepare expense reports accurately and efficiently.
– Strong capability in providing high-level executive support, including managing a busy calendar, coordinating with internal and external stakeholders, and handling confidential information with discretion.
– Excellent communication skills, both written and verbal, with the ability to communicate effectively at all levels of the organization and with external partners.
– A proactive problem-solver with outstanding organizational skills and the ability to prioritize tasks effectively.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with virtual meeting software (Zoom, Microsoft Teams).
– Flexibility to adapt to changing priorities and manage multiple tasks simultaneously in a fast-paced environment.
– A high degree of professionalism, integrity, and confidentiality.

Responsibilities

Coordinate the Chairman’s schedule, including arranging appointments, meetings, and travel arrangements.

Manage communication on behalf of the Chairman, including answering calls, handling emails, and drafting correspondence.

Prepare and manage expense reports, ensuring accuracy and compliance with company policies.

Organize and prepare for meetings, including venue logistics, technology setup for virtual meetings, and preparation of meeting materials.

Serve as the point of contact between the Chairman and other executives, board members, and external partners.

Assist in the preparation of presentations and reports for board meetings and other executive-level engagements.

Support the Chairman with personal tasks as needed to ensure a seamless professional and personal schedule.
