To support our expanding operations, we are seeking a detail-oriented and proactive Administrative Assistant to manage essential administrative functions and ensure smooth project execution.

Position Overview:

The Administrative Assistant will be responsible for overseeing critical administrative tasks, including invoice preparation, project tracking, payroll support, and communication with key team members. The ideal candidate is highly organized, tech-savvy, and experienced in handling administrative responsibilities within the restoration or construction industry.

Key Responsibilities:Project & Documentation Management:

Maintain and update daily project notes and progress reports.
Keep project trackers current and ensure accurate documentation.
Update and organize project folders for internal use and client reference.
Ensure all business insurance policies are up to date and compliant.

Financial & Invoice Management:

Prepare and process client invoices, ensuring accuracy and timely submissions.
Track and follow up on outstanding payments.

Communication & Coordination:

Collaborate with project managers and estimators to ensure project updates are accurately recorded.
Maintain clear and professional communication with clients and insurance representatives.

Payroll & HR Assistance:

Assist with payroll processing and maintain accurate records.
Support HR-related tasks, including employee documentation and compliance tracking.

Qualifications & Requirements:

Minimum 3 years of administrative experience, preferably in restoration, construction, or insurance-related fields.
Strong organizational and time-management skills with attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
Ability to work independently and manage multiple tasks in a fast-paced environment.
Experience with Xactimate or similar industry software is a plus.
Knowledge of basic payroll and HR procedures is a plus.
Bilingual proficiency in English and Spanish is preferred.

Pay: $20.00 – $25.00 per hour

Schedule:

8 hour shift
Monday to Friday
