In this pivotal role, you’ll ensure seamless daily operations and serve as a trusted partner, managing confidential communications, complex scheduling, and high priority tasks to maximize impact across the organization.

What You’ll Do:

Serve as a trusted point of contact, handling correspondence, calls, and inquiries with professionalism and discretion.

Proactively manage complex calendars, including scheduling and prioritizing meetings, events, and travel arrangements for President and other Senior Team Leaders.

Prioritize and respond to communications on behalf of the President, exercising sound judgment and representing the company’s voice.

Support day-to-day operations and provide administrative assistance across all owned entities.

Handle applications and renewals for third-party vendors and partnership relationships, ensuring accurate and timely submissions.

Maintain organized and confidential filings of sensitive documents and business information.

Oversee company expenses and collaborate closely with the accounting department to ensure prompt and accurate processing of payments.

Manage invoice payments, credit card reconciliations, check deposits, and check processing to maintain accurate financial records.

Coordinate conference room setups and facilitate internal team functions to ensure smooth and professional meetings.

Assist with the planning and execution of company outings, UT tailgates, holiday parties, and other special events.

Arrange travel and accommodations for conferences and events attended by the President and key team members.

Support the President with errands and personal requests, ensuring tasks are completed accurately and efficiently.

What You’ll Bring:

Minimum of 3+ years of executive-level administrative experience

Project management skills, with a proactive approach to anticipating needs & executing with attention to detail

Proficient in MS Office Suite, Google Workspace, and other tech platforms, displaying tech savviness.

Excellent written and verbal communication skills, with a knack for crafting polished and prompt, professional correspondence.

Ability to work on-site in a dynamic, fast-paced environment

Bonus Points:

Bachelor’s Degree and/or experience in real estate, lending, or financial services industry

Experience supporting C-Suite in a fast-paced, high growth environment

Familiarity with HR, Finance, and Legal documentation process
