Job Overview
We are seeking a highly organized and self-motivated Operations Coordinator to join our Operations Team. This mid-level role reports directly to the Director of Operations and plays a key part in ensuring the financial and administrative efficiency of our construction projects. The ideal candidate will have experience in construction project management and be fluent in construction terminology, scheduling stages, material differences, and payment terms.
Key Responsibilities
Purchase Orders
Create Purchase Orders using Buildertrend software.
Review project scopes and contracts provided by Project Managers (PMs)
Receive and organize vendor/subcontractor estimates; issue accurate POs based on scope and pricing
Confirm POs in advance with subcontractors and ensure deposits are paid
Change Orders
Create COs when requested by PMs, verifying scope and pricing accuracy
Ensure deposits are paid and related client invoices are issued and collected
Accounts Payable
Enter all vendor bills/invoices into Buildertrend
Monitor job progress to trigger timely subcontractor progress payments
Estimating Support
Facilitate communication between PMs and subs
Track and organize estimates; confirm estimates reflect project scope accurately
Request missing or revised quotes as needed
Material Procurement
Source and order materials as requested by PMs
Price shop across vendors to secure best pricing
Track delivery timelines and coordinate with Site Support and PMs to ensure on-site receipt
Financial Oversight
Ensure all project-related spending stays within budget and aligns with projected margins
Track real-time job costs and flag inconsistencies or budget risks
Collaborate with the estimating team to align actual spending with bid assumptions
Subcontractor Management
Subcontractor onboarding
Subcontractor Agreement and COI tracking and management
Office Management
Manage and maintain office supply inventory
Answer phones as the first point of contact
Requirements
3+ years in a construction project coordination or financial operations role
Proficiency in Microsoft Excel and basic familiarity with Buildertrend or similar software
Strong understanding of construction terminology, materials, and payment structures
Excellent communication skills—both verbal and written
High attention to detail and strong organizational skills
Self-driven with the ability to work independently while staying aligned with team goals
