The Flood Law Firm is one of the largest and fastest-growing personal injury law firms in the state. As our Operations Coordinator, you’ll be the administrative backbone of the office—stepping in wherever needed to keep daily functions running seamlessly. Reporting to the Operations Manager, you will support legal assistants and administrative staff, manage calendaring and mail, enforce SOP adherence, and serve as the first responder when team members are out.

What you’ll do:

Administrative Operations:

Oversee day-to-day office functions—calendaring, mail sorting, phone coverage, and supply management.
Serve as a liaison between leadership and the administrative team, ensuring clear communication of updates and priorities.

Process Compliance & Improvement:

Maintain and update SOPs in Trainual, ensuring changes (e.g., courtroom rule updates) are communicated and documented.
Identify process gaps and propose solutions; train staff on new or revised procedures.

Utility Player Support:

Step in to cover roles during staff absences (medical leave, maternity leave, vacations), from client intake to document preparation.
Jump into hands-on tasks—filing, scanning, client follow-ups—without hesitation.

Cross-Functional Collaboration:

Work closely with the Operations Manager to monitor workflow metrics and escalate issues proactively.
Partner with HR on onboarding and ongoing training

Communication & Training:

Coach team members on procedural changes and ensure consistent adherence to standards.
Draft clear, concise internal communications and proofread documents for accuracy.

What we’re looking for:

Professional Experience: 2+ years of office coordination or administrative support in a professional setting (legal experience a plus but not required).
Process & Systems Orientation: Strong comfort with documented processes—ability to update, enforce, and train on SOPs.
Adaptability & Initiative: “Can-do” attitude; willing to jump into any task to support a small, fast-paced team.
Communication Skills: Excellent written and verbal communication; adept at proofing and clear instruction.
Technical Proficiency: Familiarity with calendaring software, document management, and basic office technology.
Personal Attributes: Highly organized, detail-oriented, and solution-focused. Discreet and reliable, with the ability to handle sensitive information.
