This position will be filled as a Term-Limited Temporary position or Special Duty Assignment for current King County employees who have passed their initial probationary period. These benefits-eligible TLT positions are anticipated to last until December 2024.

The Ballot Processing Division has an opportunity in both the Signature Verification and Alternative Format Teams. Work Location: The work associated with this position will mandatorily be performed on-site with some telecommuting work as needed. The primary work site for this position is the Elections Building located at 919 SW Grady Way in Renton.

Work Schedule: This position is subject to the provisions of the Fair Labor Standards Act and is overtime eligible. The workweek is typically 40 hours per week, Monday through Friday. This position is expected to be able to work during sudden changes to schedule that may include early mornings, late nights, weekends, and holidays during designated election times. Mandatory overtime (including weekends or evenings) will be required during elections and other peak work periods.

Job Duties

General Administrative Specialist II (Election Specialist) Job Duties:

Provide excellent customer service to internal and external customers, communicating election program information and explaining election procedures, guidelines and regulations.
Perform production-level computer work which includes accurate data entry, retrieving and editing records.
Organize and coordinate work activities and assist with providing training and one-on-one instruction to diverse staff.
Set up records and file documents in both electronic and paper formats.
Review documents for proper format, accuracy, completion, eligibility, and other legal guidelines.
Audit work group data entry activities to ensure performance quality and efficiency of work.
Utilize spreadsheets, word documents and reports to track and document performance data.
Research and resolve questions from staff, citizens and stakeholders.
Document and improve work processes, procedures and instructions.
Agile to other work areas as needed; and
Other administrative duties as assigned.

Signature Verification Administrative Specialist II Specific Job Duties
In addition to the general Administrative Specialist II job duties listed above:

Support Signature Verification Lead, coordinate with lead Signature Verification daily work activities.
Assist in training on work processes.
Provide data entry for signature verification statistics.
Assist in the production of daily reconciliation reports of envelopes processed.
Communicate hand-offs to and from other work groups.
Assist with the organization of work processes, quality control issues and work instructions.
Complete spreadsheets, word documents and reports, review documents for proper formatting and accuracy as requested by lead.
Alternate Format Administrative Specialist II Specific Job Duties:
In addition to the general Administrative Specialist II job duties listed above:
Supports Alternate Format Lead, coordinates with lead Alternate Format daily work activities.
Assist in the training on work processes.
Help manage the ballot return email box.
Process and prepare for counting all incoming alternate format and provisional ballots.
Assist in the production of daily reconciliation reports of envelopes processed.
Communicate and coordinate hand-offs to and from other work groups.
Assist in leading work processes, address quality control issues and document procedures and work instructions.
Complete spreadsheets, word documents and reports, review documents for proper formatting and accuracy as requested by lead.

Experience providing assistance leading a diverse group of workers in a team focused environment;
Demonstrated ability to provide excellent verbal and written communication including instruction, training, and feedback;
Work experience that includes maintaining and tracking data and data analysis.
Experience presenting information to large diverse audiences;
Demonstrated ability maintaining a professional demeanor and providing timely and reliable customer service;
Demonstrated skill in handling stressful situations effectively while maintaining composure;
Experience maintaining confidentiality, while sharing the right information with the appropriate people;
Demonstrated ability managing quickly changing priorities and quickly changing information. Ability to multi-task in a busy environment;
Ability to work cooperatively with a variety of individuals in a team environment; and
Demonstrated comfort with the use of Microsoft Excel, Microsoft Word, email and electronic record filing systems to create correspondence and spreadsheets, send and receive information, access and analyze data, and develop reports and outreach materials.

Desired Qualifications:

Experience with Microsoft Office Suite – specifically Word and Excel;
Initiative in taking on new tasks and projects; and
Familiarity with diverse communities and direct community-based or customer service-based experience is preferred.

Supplemental Information

Travel to work locations throughout King County with limited or no public transportation services is required. A valid Washington State Driver’s License is required to operate King County vehicles.

Physical Requirements: The duties in this position are performed in an office setting and may be required to lift at least 25 pounds and up to 50 pounds in a team setting.

Hybrid Work Environment
The work associated with this position will be performed through a combination of mandatory onsite work complemented with telecommuting work and meetings as needed. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
