We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring efficient workflow, and providing exceptional customer service. This position requires strong communication skills, both verbal and written, as well as proficiency in office management tasks.

Responsibilities

Manage and maintain calendars, scheduling appointments and meetings efficiently.
Serve as the first point of contact for clients and visitors, providing outstanding customer service.
Handle incoming calls using phone systems, directing inquiries to the appropriate personnel.
Organize and maintain office files, ensuring all documents are easily accessible and up-to-date.
Assist with clerical duties including data entry, document preparation, and correspondence management.
Support office management tasks such as ordering supplies and coordinating maintenance requests.
Collaborate with team members to ensure smooth operations and effective communication across departments.
Maintain confidentiality of sensitive information in accordance with company policies and HIPAA.

Requirements

Proven experience as an Administrative Assistant or in a similar role is preferred.
Bilingual skills are a plus, enhancing communication with diverse clientele.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in calendar management and scheduling software.
Familiarity with medical receptionist duties is advantageous but not mandatory.
Excellent time management skills to handle multiple tasks simultaneously.
Ability to work independently as well as part of a team in a fast-paced environment.
Proficient in using standard office equipment and software applications.

Job Type: Part-time

Pay: $23.00 – $25.00 per hour

Expected hours: 16 – 20 per week
