Position Summary
Delaware County Community College (DCCC), an accredited, associate degree-granting institution of higher education serving Delaware and Chester counties is looking for a dedicated and dynamic Assessment Administrative Assistant to join our team of higher education professionals who are committed to student success.
Essential Functions
The Assessment Administrative Assistant is responsible for supporting the Director of Assessment Services and leading the overall organization of the Assessment Services Office. The position requires a leadership role in communicating and delegating the needs of the office. The Assessment Administrative Assistant I must be able to multitask and model excellent customer service skills. The position requires excellent organizational, communication, and interpersonal skills. Proficiency in 365 applications and Microsoft Office are required.
Essential Functions:
Provide administrative support for the Director of Assessment Services and other Assessment Service administrators including mail, phone, scheduling appointments, managing calendars, room reservations, and other support as needed.
Lead the part time Administrative Office Assistants to provide overall support to students, staff, and the Community at large.
Communicate updates and changes of Assessment processes and important College information to staff.
Create and maintain files for record keeping and data collection.
Manage data entry for placement scores: record scores in Banner, work with the Assistant Director of Testing to identify students that are in need of follow-up.
Oversee the timely entry of all test scores and transcript indexing.
Support Academic Advising, the Nursing, Surgical Technology, and Respiratory Therapy registration and onboarding processes.
Maintain statistics and financial records for Director of Assessment Services and other administrators.
Maintain confidential personnel files and process transmittals for faculty.
Create file system for purchase requisitions, blanket orders and occasional other employees.
Monitor and coordinate the maintenance of office equipment.
Review inventory of office supplies and order as needed.
Provide support for Transfer of Credit and Prior Learning Assessment processes.
Process faculty and advisor requests (e.g., change of major, mid-term warnings, course substitutions).
Hire and supervise student workers with support from the Office of Student Employment.
Respond promptly to all Assessment Services inquiries via telephone, email, and face-to-face, researching information to ensure accuracy and redirecting calls when necessary.
Provide quality service to all visitors of the Assessment Services, clarifying complex requests, anticipating problems in resolving issues, and providing guidance and referrals to other sources or departments when necessary
Maintain sensitivity, understanding and respect for a diverse academic environment inclusive of students, faculty and staff of varying social, economic, cultural, ideological and ethnic backgrounds.
Assist with other duties as assigned by the Director of Assessment Services.

Experience & Education
Qualified candidates will have a minimum of 3+ years of administrative/office management related experience, technical training, or equivalent combination of education & experience. Prior related experience in an educational setting is preferred. High School diploma or equivalent required; Associates degree from an accredited institution or equivalent combination of education, administrative experience, or technical training is preferred.
