Executive Assistant to the Vice Chancellor for University Advancement

The Executive Assistant reports to the Vice Chancellor for University Advancement and provides executive‑level support to the Office of University Advancement, affiliated Foundations, and the Spartanburg County Commission on Higher Education.

Job Responsibilities

  • Administers the Office of University Advancement to ensure consistent and efficient operations of the division.
  • Provides administrative assistance such as writing and editing emails, drafting memos, and preparing communications on the vice chancellor’s behalf; maintains comprehensive records, organizes meetings, schedules reminders, and coordinates catering.
  • Answers phone calls in a polite and professional manner and welcomes visitors, directing them appropriately.
  • Coordinates travel arrangements for team members and prospective employees.
  • Manages the vice chancellor’s calendar, schedules appointments, and prioritizes the most sensitive matters.
  • Coordinates and plans all activities related to the Spartanburg County Commission for Higher Education and the University Foundation Board of Directors, including scheduling, compiling meeting minutes, reporting, and communications.
  • Serves as liaison and maintains a positive rapport between the Office of University Advancement and university constituents—including faculty, staff, students, alumni, donors, and the community at large.
  • Assists in planning and executing signature events in conjunction with the Office of Special Events and related parties; serves on multiple event planning committees such as commencement and Arbor Day.
  • Provides administrative support to the AVC for UM&C and carries out other duties as assigned.

Qualifications

Minimum:

  • High school diploma or GED.
  • 3 or more years of job‑related experience.
  • Driver’s license and a good driving record.
  • Successful background check.

Preferred:

  • Experience with Raiser’s Edge, Financial Edge, Board Effect, SharePoint, and People Soft.
  • Proficient in Microsoft Office and internet usage.
  • Excellent communication skills and the ability to thrive in a fast‑paced, changing support environment.
