Full Job Description

This role will support the Legal and Risk Management Department and coordinate closely with the Development and Investment Departments to include support throughout the project lifecycle including acquisition & diligence, predevelopment, construction, and general contract administration. This role is an important liaison between internal departments and is also a point of contact between the legal, development and investment departments.

WHAT WE ARE LOOKING FOR:

We are looking for an Executive Assistant / Transaction Coordinator to join our Legal and Development teams. This position is onsite at CONAM’s corporate office. Salary Range is $80,000-$90,000.

Duties and responsibilities

Responsibilities include, but are not limited to, the following:

Executive Assistance

Support General Counsel in prioritizing and managing workflow.

Schedule and prepare for meetings with Executive Team, Clients, and other stakeholders.

Collaborate with CONAM Operations Team regarding implementation of best practice SOPs for Risk Management.

Coordinate with development/investment teams, outside counsel, lenders, title companies, and other third parties throughout transaction lifecycle.

Assist in the preparation of documentation that flows through the legal department, including development, investment and property management contracts.

Assist in organizing and updating standard form contracts.

Maintain accurate legal files and databases.

Maintain a log of reports and deliverables to lenders, governing agencies, owners, and other stakeholders.

Gather, track, review, and submit reports and deliverables as instructed.

Manage Outlook calendars for meetings and events.

Review and process invoices.

Generate and distribute meeting minutes, memos, emails and reports.

Transaction Coordination

Support all aspects of contract and subcontract administration life cycle including request for proposals/ competitive bidding, contract negotiation/ formation including legal coordination, contract administration, contract tracking, and contract close out.

Coordinate due diligence activities as needed.

Track and document critical tasks related to the contract life cycle.

Review non-disclosure agreements and other project-related agreements.

Review pay applications including accuracy of billing and completeness of submittal with materials such as cover sheets, lien releases, insurance, and other documentation.

Assist with lender draw requests in conjunction with all development projects
