TITLE: Executive Assistant to the CEO

REPORTS TO: Chief Executive Officer

Location: Boys & Girls Clubs of Athens

Job Description: The Boys & Girls Clubs of Athens is seeking a dedicated and detail-oriented Executive Assistant to support the CEO in driving the organization’s mission to empower and inspire young people. This role will serve as a trusted partner to the CEO, ensuring efficient administrative support, effective communication, and smooth daily operations. The ideal candidate will be organized, resourceful, and passionate about making a positive impact on the lives of children and the Athens community.

Key Responsibilities:

Administrative Support:

Manage and maintain the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring optimal time management.
Prepare and edit correspondence, reports, presentations, and meeting agendas.
Act as the primary point of contact for internal and external communications on behalf of the CEO.
Organize and prioritize emails and ensure timely responses and follow-ups.

Board & Committee Coordination:

Coordinate Board of Directors meetings, including scheduling, preparing materials, and recording minutes.
Serve as a liaison between the CEO and the Board, providing necessary support and communication.
Assist with committee logistics and ensure all stakeholders are informed and aligned.

Event & Travel Coordination:

Plan and coordinate the CEO’s travel arrangements, including flights, accommodations, and itineraries.
Assist with the organization of fundraising events, donor meetings, and community engagements.
Provide on-site or remote support during key events and meetings as needed.

Operational Support:

Track and manage expenses, prepare expense reports, and assist with budget reconciliation.
Maintain organizational files, records, and databases in a secure and organized manner.
Conduct research and gather information to assist the CEO in decision-making and presentations.

Project Management:

Support the CEO in managing special projects, ensuring deadlines and deliverables are met.
Collaborate with department leaders to drive initiatives and maintain alignment with strategic goals.
Identify and recommend opportunities to improve processes and operational efficiency.

Qualifications

Required:

Minimum of 3-5 years of experience in an executive assistant or advanced administrative role, preferably in a nonprofit or mission-driven organization.
Strong organizational skills and attention to detail.
Exceptional written and verbal communication abilities.
Proficiency in office tools such as Microsoft Office Suite, Google Workspace, Canva, and project management software.
Ability to handle sensitive and confidential information with the utmost professionalism.
Flexibility and adaptability to changing priorities in a fast-paced environment.

Preferred:

Bachelor’s degree in business administration, Communications, or a related field.
Experience working with boards of directors and/or in a nonprofit setting.
Familiarity with donor management systems (e.g., Salesforce, Raiser’s Edge) is a plus.
