We are seeking an experienced and enthusiastic Executive Business Administrator to provide support to a senior executive in Beijing. If you thrive in a fast-paced dynamic work environment and are passionate about your role as a business support professional, this might be the role for you.

Responsibilities

  • Support senior executive
  • Proactively manage complex calendars with the utmost attention to accuracy and timelines
  • Arrange and coordinate a high number of meetings, travel plans end to end including the proactive anticipation of any and all logistics and itineraries.
  • Prepare and reconcile expense reports to ensure timely processing.
  • Demonstrated proficiency with Microsoft productivity software, including Word, Outlook, PowerPoint, Excel, OneNote, Teams and SharePoint
  • Coordinate and schedule both internal and external meetings
  • Event coordination and setup
  • Lead the admin team including the onboarding of all new hires, space management for the team, organizational charts, distribution lists and security groups.

Qualifications

  • Minimum 5 years of experience in administrative support to senior executives of an organization, including comprehensive calendar and travel management.
  • Diploma preferred.
  • Fluent both in spoken and written English
  • Highly confidential with the ability to handle sensitive matters with discretion.
  • Strong administrative and scheduling skills.
  • Excellent verbal and written communication skills
  • Good organization and time management skills with high attention to detail and accuracy
  • Good team player, adaptable and flexible to changing requirements.
  • Takes initiative, self-direction and enthusiastic in adapting to a variety of tasks.
  • Fluent in Microsoft Office, good PowerPoint skill is a plus.
  • Experience with Apps for Work (mail, calendar, docs, sheets, etc.)
