As a member of the Executive Suite, you will join an incredibly talented and hardworking staff dedicated to executive support to advance BakerRipley’s impact in the Houston region.
The Executive Coordinator will support multiple executives and is responsible for managing high-level administrative tasks and complex scheduling for the executives, including significant interaction with the Leadership Team. This position requires strong organizational and communication skills, and absolute discretion. The Executive Coordinator is resourceful and demonstrates the ability to manage and perform routine to advanced and confidential duties with tact and diplomacy.
Expected Outcomes
High-Level Calendar Management: Manage complex schedules, including meetings with external partners, board members, and internal stakeholders.
Strategic Communication: Draft high-level correspondence, presentations, and reports on behalf of executives.
Project and Initiative Support: Provide direct support for key initiatives, coordinating tasks and timelines across departments.
Travel Coordination: Handle executive travel arrangements, ensuring smooth logistics for complex or high-priority trips.
Team Leadership: Act as mentors to the Executive Admin Assistant, delegating tasks as appropriate and offering training when needed.
Problem Solving: Proactively identify issues and offer solutions to streamline executive workflows.
Essential Functions
Executive Operations: In-depth understanding of executive-level administrative functions, including complex scheduling and strategic
project support.
Event and Travel Planning: Expertise in managing high-level events and complex travel logistics for executives.
Advanced Communication: Excellent verbal and written communication skills, capable of drafting high-level reports and presentations.
Problem-Solving: Strong analytical and problem-solving skills to resolve issues before they affect executive schedules or projects.
Organization: Exceptional organizational skills to manage multiple tasks for several executives simultaneously.
Leadership: Ability to mentor and lead junior staff, delegating tasks appropriately while maintaining oversight.
Multitasking: Ability to handle complex projects, prioritize executive needs, and adapt to changing circumstances.
Discretion: Ability to handle highly sensitive information with professionalism and confidentiality.
Attention to Detail: High-level attention to detail when managing schedules, drafting communications, and preparing executive
documents.
