This role resides under MISC Marine (the Integrated Marine Services arm of MISC Group).
Key Accountabilities
1. Guarantee Claim Administration & Coordination
- Coordinate the end-to-end Guarantee Claim (GC) process in accordance with the Shipbuilding Contract (SBC), Ship Management Agreement, Company procedures, and established warranty management practices.
- Review Guarantee Claim submissions from Ship Managers and Vessel to ensure claims are complete, technically substantiated, and supported with adequate evidence prior/concurrent to submission to Builders.
- Register, classify, and maintain all Guarantee Claims within the central Guarantee Claim Register and SharePoint repository.
- Prepare, submit, and monitor Builder correspondence, technical clarifications, claim notifications, and follow-up communications on GC related to design or critical issues.
- Monitor Builder response times, claim progress, warranty periods, outstanding actions, and claim status, ensuring timely follow-up and escalation where necessary.
- Support Ship Managers and Vessel Teams in executing Guarantee Claims by providing guidance on procedures, documentation requirements, contractual obligations, and evidence required to maximise successful warranty claims.
2. Warranty Execution & Technical Coordination
- Coordinate complex, critical, emergency, or design-related Guarantee Claims requiring Technical Services intervention to ensure timely rectification and minimize operational impact.
- Facilitate technical discussions involving Builders, Makers, Classification Societies, Ship Managers, Vessel Teams, Engineering & Design, and other stakeholders to resolve warranty issues effectively.
- Coordinate Builder attendance, Maker service engineers, technical inspections, spare part deliveries, onboard attendance, and other warranty-related activities.
- Monitor implementation of agreed corrective actions and warranty commitments until satisfactory completion.
- Escalate technical issues, Builder delays, or contractual concerns that may affect warranty rights, vessel operations, or project objectives.
3. Warranty Documentation & Evidence Management
- Maintain complete, accurate, and auditable documentation for every Guarantee Claim, including (where appropriate) technical reports, photographs, service reports, Root Cause Analysis (RCA), Builder correspondence, Maker reports, invoices, and claim closure records.
- Verify completeness, consistency, and traceability of supporting documentation before/concurrently with submission to Builders or use during settlement discussions.
- Maintain detailed claim chronology and technical history to support warranty entitlement, audits, future negotiations, and organizational reference.
- Ensure all Guarantee Claim documentation is properly maintained within the centralized SharePoint repository and related warranty management systems.
4. Dry Dock Warranty Coordination
- Identify outstanding Guarantee Claims requiring execution during scheduled dry docking.
- Coordinate with Ship Managers, Vessel Teams, Builders, Makers, Dry Docking Yards, and Engineering Teams to ensure warranty works are properly incorporated into the dry docking specification and execution schedule.
- Monitor completion of warranty-related works during dry docking and maintain supporting records required for claim closure.
- Follow up outstanding warranty items until completion and formal closure with the Builder.
5. Settlement Preparation & Warranty Recovery Support
- Prepare settlement summaries, claim schedules, supporting documentation, cost recovery matrices, invoices, purchase orders, and technical evidence required for warranty settlement discussions.
- Coordinate with Ship Managers, Fleet Operations, Finance, and other stakeholders to obtain supporting documentation necessary for settlement.
- Verify completeness and consistency of supporting documents prior to Manager review.
- Monitor settlement progress and maintain updated settlement records.
- Support recovery of warranty-related costs, and other warranty entitlements where applicable.
6. Reporting, Warranty Performance & Risk Monitoring
- Prepare periodic Guarantee Claim dashboards, management reports, Builder performance reports, claim ageing analyses, and other performance indicators.
- Monitor outstanding claims, overdue Builder responses, warranty expiry risks, recurring failures, and unresolved technical issues.
- Highlight emerging warranty risks, delayed rectification, recurring defects, or potential value leakage for management attention.
- Support audits, management reviews, and governance activities by providing accurate, timely, and reliable warranty information.
7. Technical Analysis, Lessons Learnt & Reliability Improvement
- Analyse Guarantee Claims, Builder responses, Maker reports, Root Cause Analyses, and technical findings to identify recurring failures, abnormal trends, and opportunities for improvement.
- Identify issues that may indicate potential design deficiencies, material selection concerns, workmanship quality, installation practices, commissioning issues, equipment reliability, or operational factors, and escalate them to Engineering & Design for technical assessment.
- Prepare and maintain structured Lessons Learnt arising from Guarantee Claims, including recommendations for design improvements, engineering practices, construction methods, equipment selection, operational procedures, and warranty management.
- Share recurring technical issues and improvement recommendations with Engineering & Design, Project Teams, Fleet Operations, Ship Managers, and other relevant stakeholders to minimise recurrence in future projects.
- Maintain records of recurring failures, Builder performance, Maker performance, equipment reliability trends, and warranty statistics to support future project planning and continuous improvement.
- Support management in communicating warranty limitations, technical findings, and rectification strategies to Ship Managers and Vessel Teams to promote realistic expectations and consistent understanding of warranty obligations.
8. Governance Support & Continuous Improvement
- Maintain standard Guarantee Claim templates, reporting formats, correspondence templates, guidance documents, and SharePoint records.
- Support continual improvement of Guarantee Claim procedures, workflows, reporting tools, dashboards, and digital systems.
- Ensure compliance with Company procedures, contractual requirements, warranty processes, and documentation standards.
- Support implementation of departmental warranty management initiatives and perform other duties assigned by the Manager.
Job Requirements
Education
- Bachelor's Degree in Mechanical Engineering, Marine Engineering, Naval Architecture, Electrical Engineering, or other relevant engineering disciplines.
Experience
- Ideal: Minimum 3 years' experience in warranty management, shipbuilding, vessel operations, marine engineering, technical support, dry docking, or related maritime project environments.
