We are seeking a highly organized and proactive Administrative Coordinator to provide essential support to our IT leadership team. This role involves office administration, employee onboarding coordination, and executive scheduling, ensuring seamless operations within a dynamic environment. The ideal candidate is detail-oriented, thrives in a fast-paced setting, and excels in communication and collaboration.
Key Responsibilities:
Office Administration & Team Support
Facilitate logistics for team meetings, town halls, and company events, including scheduling and equipment setup.
Oversee office supply management to support daily operations.
Organize team-building activities, celebrations, and employee engagement initiatives.
Provide administrative support to leadership, ensuring operational efficiency.
Employee Onboarding Coordination
Manage the first-day experience for new hires, ensuring a smooth and welcoming transition.
Work with managers to schedule key meetings during an employee’s onboarding period.
Conduct structured check-ins at various milestones (T+0, T+7, T+30, and T+90) to gather feedback and support new employees.
Identify opportunities to enhance onboarding processes based on employee feedback.
Executive Calendar & Scheduling
Oversee and prioritize scheduling for senior leadership, ensuring effective time management.
Coordinate high-priority meetings, including agenda preparation and follow-ups.
Anticipate and resolve scheduling conflicts to optimize leadership availability.
Maintain professionalism and discretion in handling executive-level communications.
Leadership Collaboration & Coordination
Hold regular one-on-one meetings with leadership to align on priorities and responsibilities.
Assist in tracking action items, deadlines, and key initiatives for IT leadership.
Qualifications:
Experience in administrative coordination, executive support, or office management.
Strong organizational and multitasking skills with keen attention to detail.
Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
Excellent communication and interpersonal skills.
Ability to exercise discretion and confidentiality in sensitive matters.
Self-starter who can take initiative and work independently.
Preferred Qualifications:
Familiarity with employee onboarding processes or HR support.
Experience using Microsoft Outlook, Google Calendar, or similar scheduling tools.
Strong problem-solving and adaptability in a fast-paced environment.
