Under the Human Resources Division, the Office Administrator at Orion Security Solutions (OSS) has the unique opportunity of being the central source of information and coordination with both internal and external customers throughout the organization. Primarily this role exists to be the “first impression specialist” on behalf of the company, receiving and directing customers, visitors, and employees either in person or on the phone in a welcoming, courteous, and pleasant manner. Secondary to that responsibility, this role will assist with various administrative duties such as office inventory and building management as well as assisting the Human Resources Director with division-related duties. The overall expectation is that this position acts as the conduit of office matters while efficiently and effectively managing the communication links between different divisions within and outside OSS.

Duties and Responsibilities

Reception

Receive and assist customers and visitors in a polite and pleasant way with a positive attitude
Manage customers and visitors and arrange welcoming accommodations
Answer the main line phone and redirect calls accordingly
Capture service calls information and forward to the Service Department.
Coordinate internal and external appointments with management and other employees of OSS.
Providing excellent customer service

Office Management/Administration

Keep office materials stocked; printer paper, ink, envelopes, marketing materials, etc.
Manage incoming and outgoing mail
Manage activities related to employee occasions such as birthdays, anniversaries, announcements, etc.
Order catering services for office meetings when necessary
Order new apparel and keep inventory stocked
Coordinate monthly, quarterly, and annual events-book venue reservations, schedules itinerary, order merchandise, organize company nominations and awards
Track and communicate incoming complaints, problems, and queries
Oversee check-in/out procedures with the OSS fleet
Deposit incoming checks
Manage building maintenance coordination- research and contact appropriate vendors for action items
Assist in the coordination of onboarding new hires
Assist in the communication of employee updates on the internal website, newsletters, quarterly events, and invitations
Request Certificates of Insurance (COI) upon request to insurance agents
Assist in other duties as assigned.

Skills and Specifications

Possess a pleasant and charismatic personality
Strong communication skills, both written and verbal
Strong presentation skills are required
Proficiency in using computers and telephone systems.
Must possess excellent customer service and coordination skills.
Aptitude to take on progressively higher-level responsibilities
Possess a proactive approach to challenges

Education and Qualifications

Bachelor’s degree or equivalent experience in office administration or human resources preferred
