Job Overview:

We are seeking a highly organized and detail-oriented HR Admin to support our HR department and assist with various administrative tasks within our automotive company. The ideal candidate will have strong communication skills, be proactive in managing tasks, and be able to work effectively in a fast-paced environment.

Key Responsibilities:

Office & Administrative Support

Oversee day-to-day office operations, including managing stationery, pantry, and office facilities supplies to ensure availability and proper stock levels.

Monitor office facilities to ensure they are well-maintained and functioning properly to support a safe and conducive working environment.

Coordinate minor repairs, servicing, or maintenance requests in collaboration with facility service providers.

Handle correspondence, schedule meetings, and maintain filing systems for both HR and office documents.

Support office logistics, visitor management, and internal event coordination.

HR Documentation & Employee Records

Maintain and update employee records in compliance with company policies and legal requirements.

Assist with onboarding logistics such as preparing employment documents, collecting necessary forms and copies from new joiners, and compiling P-files.

Coordinate the distribution of onboarding items such as employee merchandise, access cards, and office tools.

Set up new employee workstations and induction schedules as required.

Leave Management

Monitor and update leave records accurately, ensuring alignment with company policies.

Process leave applications and provide employees with support on leave-related queries.

Prepare monthly reports on leave utilization for management and payroll coordination.

Payroll Coordination

Compile and submit attendance, overtime, and leave data to the payroll team for processing.

Support employees with general inquiries related to payroll procedures and documentation.

Health, Safety & Office Compliance

Help maintain a safe and compliant office environment in line with industry standards.

Assist in organizing safety briefings and maintaining records of safety protocols and inspections.

HR and General Reporting

Prepare and maintain reports related to employee attendance, leave, office inventory, and HR activities.

Ensure proper documentation and filing of administrative and HR-related data for audit and compliance purposes.

Qualifications:

Bachelor’s degree in Human Resources, Business Administration, or a related field.

1-3 years of experience in an HR administrative role, preferably in the automotive industry.

Knowledge of HR practices, labor laws, and payroll processes.

Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and HR management software.

Excellent communication, interpersonal, and organizational skills.

Ability to maintain confidentiality and handle sensitive information.

Strong attention to detail and ability to multitask.
