OFFICE & EXECUTIVE ASSISTANT

FIXED-TERM, FULL-TIME CONTRACT

As our Office & Executive Assistant, you will report directly to our Co-Founders and be part of the Dak Coffee Roasters team based in Amsterdam. In this unique role you can truly make a difference by supporting our team to stay connected and operate efficiently in this multi-cultural environment.

In this role, you will be a key-player in organisation and management activities, as well as providing administrative support to the business.

Job responsibilities

Providing comprehensive administrative support.

Draft, review, and send communications on behalf of company executive(s) and maintain clear lines of communication.

Ensure documents are organized.

Create invoices for orders in our accounting software.

Go though each expense and categorise them in our accounting software. 

Optimize admin processes and implement these as part of enhancing overall efficiency and effectiveness.

Overseeing and managing administrative asks to ensure efficiency.

You’ll manage calendars, coordinate global travel, and orchestrate meetings, both in-person and via video conferencing.

Facilitating clear and effective communication with employees, including managing emails and phone calls.

Effective time management to prioritize tasks and meet deadlines.

Preparing simple reports or presentations or other various tasks for management.

Create the company year calendar and align on the yearly planning with company executive(s) and their teams and share agenda invites for the year ahead. 

Organize and prepare for meetings/ team events, including gathering documents and attending to logistics of meetings/team events. 

Requirements

Availability 36h/week (Mon-Thu 9am-6pm, Fri 9am-1pm)

Available to work as soon as possible

Fluent in English both in speaking and in writing. Fluent in Dutch is a plus. 

You have previous experience in administrative role.

You possess excellent organizational skills, and a problem-solving mindset. 

You have strong communication skills, and can quickly built rapport with people. 

You are a multitasker and enjoy working on different projects 

You are comfortable with keeping confidential information 

You are proactive, creative and autonomous, and always looking for improvement opportunities. 

You have good knowledge of Microsoft Office
