POSITION OVERVIEW:
SLAC National Accelerator Laboratory seeks an Administrative Associate for the Accelerator Directorate Technical Planning Department. The successful candidate will support the LCLS-II-HE Project. The Administrative Associate will work with the department Planning and Production teams to ensure the successful execution of manufacturing projects for complex assemblies. This position will support purchasing efforts and tracking of deliverables for production. This position reports to the TPD Department Head in the Mechanical Engineering and Technical Services Division of SLAC¿s Accelerator Directorate.
Given the nature of this position, SLAC is open to on-site and hybrid work options.
Your specific responsibilities include:
Enter purchase requisitions into PeopleSoft Financial ERP.
Obtain quotes for COTS items based on customer requirements.
Track orders through all process stages, including approvals, order placement, vendor acknowledged due date, and on-time delivery.
Update delivery status in Visual Manufacturing ERP.
Maintain records and ensure proper disposition on of procurement paperwork, including certificates for raw materials.
Update vendors contact information in Visual Manufacturing ERP.
Update Part Masters in Visual Manufacturing ERP with vendor information.
Note: This is a 24-month fixed term position with the possibility of extension or converting to regular continuing position contingent on project needs and budget.
To be successful in this position you will bring:
High school diploma and four years of administrative experience, or combination of education and relevant experience.
Advanced computer skills and demonstrated experience with Microsoft Office software and email applications.
Demonstrated success in following through and completing projects.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to prioritize, multi-task, and assign work to others.

Desired Skills:
Experience with Visual Manufacturing or similar ERP Software.
Demonstrated experience with an on-line purchase requisition and purchase order system such as PeopleSoft, Oracle, SAP.

The expected pay range for this position is $39.46 to $44.30 per hour. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
