The Opportunity
We are seeking a high-level Executive Operations Partner (EA) to serve as a "Second Brain" for our leadership team. This is not a traditional administrative role; it is a high-leverage partnership designed to reduce operational drag and create structural clarity. You will not just manage a calendar—you will own the executive’s mental load, ensuring that priorities are sequenced, "open loops" are closed, and cross-functional initiatives maintain momentum. What Your Day-to-Day Will Look Like
- Executive Support & Triage: Own and manage complex calendars across multiple time zones, triaging inboxes to surface priority items and drafting polished responses.
- Priority Management: Maintain the executive "Second Brain," organizing to-do lists, tracking deadlines, and ensuring key commitments never fall through the cracks.
- Meeting Orchestration: Prepare daily and weekly priority views, organize prep materials, and lead post-meeting follow-ups to turn discussions into action.
- Project Coordination: Drive cross-functional initiatives by tracking timelines and deliverables, serving as the "connective tissue" between executive direction and team execution.
- Systems Building: Build and maintain lightweight systems, SOPs, and trackers that improve accountability and help the executive stay ahead of recurring responsibilities.
- Logistics & Travel: Coordinate complex travel itineraries, reservations, and logistical support as needed.
What You Bring
- Experience: 3–4+ years in an Executive Assistant, Executive Operations, or high-level administrative support role supporting founders or senior leadership.
- Operational Mastery: Exceptional skills in complex calendar and inbox management with a proven ability to manage shifting priorities.
- Communication: World-class written and verbal English; you can represent an executive with a calm, polished, and professional tone.
- Tech Proficiency: High proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides).
- Proactive Intuition: The ability to anticipate needs and think several steps ahead to prevent bottlenecks before they occur.
- Analytical Thinking: Strong ability to bring structure to ambiguous workflows and help executives sequence their work effectively.
- Availability: Ability to work U.S. business hours or with meaningful overlap.
Bonus Points if:
- You have experience as a "Business Partner" style EA in a fast-paced startup or founder-led environment.
- You are a power user of project management tools like Asana, ClickUp, Notion, or Monday.com.
- You have experience supporting multiple executives simultaneously.
- You have a background in real estate, investment, or high-growth tech.
Salary Range: $6.00 – $7.50/hour (Final offer based on skills and experience matched to role requirements)
