Confidential Opportunity

A private executive office is seeking an experienced Executive Assistant / Personal Assistant to serve as the trusted right hand to a senior executive. This confidential position requires exceptional organizational skills, sound judgment, professionalism, and the ability to manage both executive and personal matters with complete discretion.

The successful candidate is proactive, resourceful, highly detail-oriented, and capable of anticipating needs before they arise. This individual will play a key role in ensuring the executive’s business operations and personal affairs run efficiently while maintaining the highest standards of confidentiality.

Key Responsibilities

Executive Support

  • Manage an active and complex calendar, prioritizing appointments, meetings, and commitments.
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and logistics.
  • Screen, prioritize, and manage incoming communications.
  • Prepare presentations, reports, meeting materials, and executive correspondence.
  • Monitor deadlines, action items, and follow-up tasks.
  • Assist with confidential projects and business initiatives.
  • Serve as a liaison with clients, advisors, vendors, and professional contacts.
  • Process expense reports and assist with administrative operations.
  • Organize and maintain electronic records, confidential files, and documentation.

Personal Support

  • Coordinate personal appointments, reservations, and scheduling.
  • Manage personal travel arrangements and lifestyle logistics.
  • Assist with household administration, vendors, service providers, and property-related matters.
  • Coordinate personal purchases, gifts, errands, and special requests.
  • Support family scheduling and private events as needed.
  • Track personal expenses and assist with bill management.
  • Handle sensitive personal matters with professionalism, diplomacy, and discretion.

Office Operations

  • Ensure efficient day-to-day workflow and administrative operations.
  • Maintain organized systems for records, contacts, and important documents.
  • Coordinate meetings, office logistics, and occasional events.
  • Act as the primary point of contact while appropriately managing access to the executive.
  • Identify potential issues and proactively implement effective solutions.

Qualifications

  • Bachelor’s degree preferred.
  • Minimum of five years supporting senior executives, entrepreneurs, private offices, or high-net-worth individuals.
  • Previous experience managing both executive and personal responsibilities strongly preferred.
  • Outstanding organizational and project management skills.
  • Exceptional written and verbal communication.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated history of handling confidential information with integrity.
  • Advanced proficiency with Microsoft Office Suite, Outlook, Teams, and digital calendar management.
  • Experience coordinating complex domestic and international travel.
  • Strong critical-thinking and problem-solving abilities.
  • Self-motivated with the ability to work independently.

Work Environment
