Job Summary

Provides administrative support to the Chairman Office Maager and Board of Directors, including scheduling, document preparation, and communication management.

General Responsibilities:

Adhere to Company Mission, Vision, and Values by ensuring that all actions, decisions, and initiatives align with the company’s mission, vision, and core values, contributing to the overall success and ethical standards of the organization.

Comply with Company Policies and Procedures by performing duties in strict accordance with established company policies, guidelines, and standard operating procedures, maintaining professionalism and consistency in all tasks.

Understand and respect the official organizational chart, following the proper chain of command and collaborating effectively with team members and leadership, fostering a cohesive and respectful work environment.

Performs any other duties as required.

Departmental Specialized Responsibilities:

Manage the Chairman Officer Manager’s and Board of Directors’ calendars, scheduling meetings, appointments, and travel arrangements efficiently.

Organize and coordinate meetings, including setting agendas, attending meetings, taking minutes, and distributing follow-up materials.

Prepare and manage correspondence, reports, presentations, and other documents.

Maintain and organize a comprehensive filing system.

Safeguard all confidential and sensitive information.

Act as the primary point of contact for communications.

Coordinate and organize events, meetings, and conferences.

Assist with the preparation and formatting of reports and presentations.

Handle administrative tasks related to travel.

Liaise with various departments to gather documentation and reports.

Assist with the preparation and monitoring of budgets for administrative tasks.

Manage special projects assigned by the Chairman Officer Manager.

Act as a gatekeeper to the Chairman Officer Manager.

Assist in the drafting and review of official documents.

Provide ongoing administrative support to other senior managers when required.

Qualifications

High school diploma or equivalent

5+ years of experience in an administrative role supporting senior management

Associate or bachelor’s degree in business administration

Experience in corporate environments

Proficiency in office management software
