Description

Performs clerical, administrative, and general office operations in support of the Diamond K Ranch.

Organizes and expedites the flow of work through the manager’s office.
Answers, screens, and directs telephone calls, and controls gate entry, creating a positive impression with callers and visitors.
Monitors and reconciles controllable expenses, and assists in the preparation of annual budgets and/or monthly budget information using SAP.
Processes invoices, requisitions, and reconciles credit card receipts for Ranch Pcards.
Utilizes supply chain system to set up new vendors.
Helps maintain the animal and bird harvest books throughout the season, maintains guest log and waivers, updates tracking system for ranch game animal feeding program, and other routine correspondence, tracking, reports, and presentations.
Organizes and maintains the ranch file system and serves as the department records program administrator.
Opens and distributes incoming mail, and prepares outgoing mail and correspondence, including email.
Arranges for equipment maintenance.
Orders and maintains supplies and in-store inventory for guests.
Arranges and coordinates travel schedules and reservations.
Answer phone calls outside of normal working hours, seasonally, as needed.
Miscellaneous duties as assigned or required.

This position is salaried nonexempt status, which means you are eligible for overtime pay.

Qualifications
High School diploma or GED required.
3 years of secretarial experience required.
Able and willing to work on-site, in-person at the Diamond K Ranch in Boerne, Texas, required.
Live within a 30 mile radius of Boerne, Texas preferred.
Experience providing customer service for corporate executives preferred.
Basic knowledge of ranch operations and terminology preferred.
Basic skill using Microsoft Office programs (i.e., Word and Excel) preferred.
Knowledge of business vocabulary and standards for office communications preferred.
Ability to read and interpret company policies, regulatory guidelines, and other work-related documentation preferred.

Position level and salary will be commensurate with qualifications and experience.
