Full Job Description

LEARN is looking for anExecutive Services Coordinatorwho will successfully support and facilitate all areas of work of the agency’s Executive Director. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and be able to work independently with little or no supervision. This candidate will also exemplify the core beliefs of the agency in all dealings with internal and external customers.

General Scope of Responsibility
This position will work within the Office of the Executive Director and will serve as a liaison to the Executive Director for staff, parents, and district superintendents.

Relationship within the Organization
The Executive Services Coordinator reports to and is evaluated by the Executive Director.

Coordinates and triages all of the Executive Director’s communications, meetings, locations, logistics, and prepares confidential correspondence.

Manages the workflow across the Executive Office and between/among all departments.

Represents the Executive Director’s office on appropriate committees.

Provides support to building project committees as needed.

Supports the LEARN Board of Directors which includes setting up monthly onsite meetings, Zoom remote meetings, preparing agendas, recoding minutes, creating and distributing the synopsis for board membership review, distribution of all correspondence, travel support, meeting schedules, updates to constituent districts and serves as the link between the Board and the Executive Director when the Executive Director is away from the office.

Prepares annual meeting schedules, agendas and communications for the Executive Committee and coordinates all on site meeting logistics, working collaborative with LEARN support staff to ensure food service and technology needs are in place when needed.

Prepares agendas, annual meeting schedules and communications for the MSSA and SECASA superintendents, compiles contact lists, arranges all Zoom meetings, and supports the group’s onsite logistics, working collaboratively with LEARN support staff to ensure proper room set up and food services for monthly meetings.

Provides link among Directors, Principals, Coordinators, Associate Executive Director and Executive Director and coordinators all administrative office meetings on behalf of the Executive Director regarding scheduling and confidential communications.

Manages Executive Director’s Outlook calendar.

Manages Executive Office expenditures, staff credit card usage and invoice review and approval processes for three credit card accounts.

Acquires administrator permissions for LEARN website to upload and maintain all committee agendas, budgets, and minutes (Board of Directors, Executive Committee, Eastern CT Health and Medical Cooperative, SSS Building Committee).

Assist Executive Office Manager as needed.

Build regional and administrative calendars.

Other duties as assigned.

Responsible for heavy calendar management, requiring interaction with both internal and external customers.

Coordinate a variety of complex meetings.

Review and summarize miscellaneous reports and documents, prepare background documents as necessary.

Work closely with the Executive Director to ensure that all work flowing from that office is conducted in an efficient, accurate and timely manner.
