JOB PURPOSE:
- To plan, manage, and optimize employees’ travel arrangements by leveraging Online Booking Tools (OBT) and AI-enabled travel solutions. This role ensures all travel activities are efficient, cost-effective, compliant with company policies, and supported by data-driven insights to continuously improve travel operations.
PRINCIPAL ACCOUNTABILITIES:
Travel Arrangement
- Perform and manage end-to-end travel arrangements efficiently, leveraging the company’s Online Booking Tool (OBT) and automated approval workflows.
- Anticipate travellers’ needs and preferences to provide a seamless travel experience.
- Provide accurate and timely travel advice, including documentation, visa, and medical requirements (e.g., vaccination or health regulations).
- Ensure all travel bookings comply with company policies, travel class entitlements, and budget control.
- Support implementation and adoption of AI-driven or digital travel solutions that improve accuracy and turnaround time.
Vendors Management
- Administer and maintain the Online Booking Tool (OBT), including system setup, policy configuration, user training, and troubleshooting with system vendors.
- Monitor and evaluate performance of travel vendors, airlines, hotels, and travel agencies to ensure compliance with service level agreements (SLA) and contracts.
- Liaise with vendors on travel disruptions (e.g., weather, flight delays, cancellations) to resolve claims or refunds effectively.
- Build and sustain strong partnerships with travel service providers to negotiate better rates and service value.
Expenses Management
- Review and verify all travel-related expenses and claims for accuracy, compliance, and timely submission.
- Use AI-enabled dashboards or analytics tools to track travel spend and identify cost optimization opportunities.
- Maintain proper documentation and records to support Finance Shared Services Centre (FSSC) for claim processing and invoice payment.
- Support audit or compliance checks by providing transparent and accurate travel data..
Reporting
- Generate and maintain reports and dashboards on:
Business travellers’ whereabouts and itineraries.
Monthly and quarterly travel expenditure, cost savings, and booking trends.
- Analyze travel data to identify spending patterns, policy non-compliance, and process improvement areas.
- Present insights to management for decision-making and travel budget forecasting.
Travel Advisory
- Disseminate travel advisories and security alerts to travellers, integrating information from reliable global and internal HSSE sources.
- Collaborate with Group HSSE to update and communicate travel risk assessments and destination-specific safety guidelines.
- Ensure emergency contact procedures are available and up to date for all business travellers.
REQUIREMENT & EXPERIENCE:
- Minimum 5–7 years of relevant experience in a corporate travel desk, travel management company, or shared service environment.
- Prior experience managing Online Booking Tools (OBT) or global travel platforms (e.g., SAP Concur, Cytric, Egencia, or TravelPerk) preferred.
- Demonstrated ability to analyze travel data, identify cost-saving opportunities, and implement process automation.
- Experience in vendor negotiation and managing travel budgets or service-level agreements (SLA).
- Degree in Tourism/Hotel Management or relevant qualification(s).
