Job Summary
Provide administrative and logistics support to Consulting Partners including but not limited to drafting formal letters, preparation of documents including formatting and printing, meetings and appointments scheduling, flights scheduling, document archiving, record keeping and filing as well as telephone handling.
Duties And Responsibilities
Prepare supporting documentation for meetings and ensure proper distribution across members as necessary.
Schedule internal meetings including meeting locations and logistics.
Send out meeting invitations, notifications and meeting agendas to relevant meeting attendees.
Keep Partner(s) informed of any updates, cancelations or new meeting requests and other relevant information.
Attend meetings and prepare minutes of meetings to communicate with relevant stakeholders as and when needed.
Follow-up on the actions agreed during the meetings.
Draft and edit correspondence, memos, reports and requested documents by Partners
Help in printing and formatting proposals
Maintain and archive files on the computer or scan and safe keep documents.
Respond to inquiries received from internal or external stakeholders.
Provide a complete record of addresses, telephone contacts and faxes of all internal and external stakeholders related to Partners.
Handle and organize incoming and outgoing mail.
Coordinate and follow-up with global teams on events and trainings.
Key relations: Internal; Partners, Directors and Consulting Team. External; Clients and Global teams.
Education And Experience
Bachelor’s degree in business administration or other relevant degree
Excellent English communication skills: verbal and written
Excellent Arabic communication skills: verbal and written
Experience with an International Company
Minimum of 5 years of experience
as a project coordinator or Executive Assistant or a similar position
Extremely well organized, detail-oriented, and have strong communication and interpersonal skills
Excellent organizational skills with the ability to prioritize and meet deadlines
A self-starter that can work independently and can take charge of the role with minimal supervision
Excellent client service/stakeholder relationship skills
A good team player with excellent interpersonal skills
Analytical and problem-solving skills
Effective verbal and written communication skills
Attention to detail and high level of accuracy
Ease with Technology (MS Word, MS PowerPoint, MS Excel, MS Exchange)
