Description
The Kentucky Department for Community Based Services (DCBS) is a multi-faceted agency that provides services and programs to enhance the self-sufficiency of families; improve safety and permanency for children and vulnerable adults; and engage families and community partners in a collaborative decision-making process.
DCBS is seeking a Part-Time Administrative Specialist (works less than 100 hours per month) to assist with the day-to-day operations of a fast-paced office setting. This position provides professional support of administrative nature in developing, implementing and maintaining various complex and routine projects The ideal candidate for this position is self-motivated, organized, able to multi-task and prioritize work assignments well.

Responsibilities include but are not limited to:
Provides professional administrative support to teams that serve the office and other agencies in the office.
Provides Cabinet regulations and policies applicable to staff.
Communicates routine information and decisions from Cabinet to community partners. Screens types of support and assistance needed by public and directs them to the appropriate areas.
Provides both written and oral communication to convey procedures, identify inconsistencies and ensure accuracy of reports and invoices including tracking of performance evaluations, management reports, staff meeting notes, and other correspondence.
Serves as timekeeper for multiple teams. Completes time entry reports and assists staff in reviewing timesheets for errors and tracks corrections. Assist new timekeepers in training on timekeeping rules and procedures. Guides staff of KHRIS accounting templates or codes and leave balances.
Procard holder for the office. Processes supply requisition orders. Ensures accurate documentation of the procard ledger and orders all office supplies. Systematically checks funds and avoid overspending budgetary needs. Monitors system to ensure review and payment is made.
Maintains meeting minutes, reserves conference lines, conference rooms, and maintains filing for various reports.
Serves as Random Moment Time Studies Coordinator for team. Coordinates and submits timely reports, ensuring policy and regulations are met.
Other duties as assigned.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor’s degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
