Administrative Assistant-Community Vocational Services Program

The Administrative Assistant supports the Vocational & Community Services Department by providing administrative, clerical and organizational duties. Performs a variety of complex administrative duties requiring widespread contact across multiple teams and locations.

Responsibilities of the Administrative Assistant

Data entry to include collection and review of data and entry into Electronic Health Records or other software
Submit authorizations and track due dates as assigned ·
Has routine contact with internal and external contacts to request, gather, and monitor necessary documentation is received and entered in a timely manner ·
Performs clerical duties to include but not limited to: creating spreadsheets, analyzing data, communicating findings, record requests
Support with department events such as the annual Employer Breakfast, Thanksgiving lunch, and Client Holiday Party
Performs and supports Quality Assurance activities within the department
Support the Studio In-Sight Program within the department
Other duties as assigned

Qualifications of the Administrative Assistant

High School Diploma or equivalent.
Minimum one year experience working in an administrative capacity.
Must be fluent in Microsoft Office and Google Docs, experience with Electronic health records is preferred. Must have exceptional customer service skills, over the phone and in person, with agency contacts and internal departments.
Strong organizational skills are essential.
