Administrative Assistant – County Clerk
Hourly Rate: $19.88 – $29.83
Closing Date: January 31, 2025, or sooner upon receipt of the first 50 application submission received
Job Summary: The Administrative Assistant will be responsible for processing marriage license applications, passport applications, legal documents, claims and correspondences, and relocation orders. This position performs all front counter operations and assists the County Clerk and Deputy Clerk with additional duties as assigned, including creating oaths of office documents. The position also assists in training new front office staff and backs up the Accounting Specialist.
Job Responsibilities:
Accept applications and enters data for marriage licenses and domestic partnership terminations. Check licenses for completeness and clarifies any discrepancies. Verify legal documents, collect payments, prints, and transmits licenses.
Accept passport applications and checks for completeness and clarifies any discrepancies. Verify legal documents, take passport photos, and perform duties of the Passport Acceptance Facility Manager. In addition will process end of day transmittal sheet verifications and ordering of supplies.
Greet and refer customers, receive, and transfer calls, take messages and provides information to the public. Directs customers seeking information on other county services to appropriate departments. Sells transit tickets and DNR permits.
Maintain public records and files, scan/index marriage license applications and all papers served upon Milwaukee County (Claims, Summons, Complaints, etc.). Retrieves old marriage license application documents from microfilm database, receive and file relocation orders.
Receive, sort, distribute mail and other incoming materials. Copy documents, type up and print Oaths of Office, performs basic word processing and data entry tasks, maintain records, files and serves as back up to the Accounting Specialist and other positions as needed.
Assist County Clerks and Deputy Clerks with training other staff in performing duties of the Milwaukee County Clerk’s Office.
Perform duties as assigned to support the Milwaukee County Clerk’s Office mission and operations.
Minimum Qualifications:
Current resident of the state of Wisconsin.
HS Diploma or GED equivalent
At least two (2) years of professional office clerical experience working in an office environment and experience working with the public.
Preferred Experience:
Proficient at using basic office equipment such as multi-line phone, copier, printer, fax, scanner, and Microfilm Reader.
Experience working with POS systems and Cash Registers.
Proficient computer skills specifically with Microsoft Word, PowerPoint, Excel and OnBase programs
Willingness to go above and beyond in fulfilling work duties.
Knowledge, Skills and Abilities: Attention to detail is a must; Knowledge of office practices, principles, methods and procedures; knowledge of spelling, grammar and punctuation; knowledge and proficiency in the use of a personal computer; written and oral communication skills; organizational skills; ability to follow oral and written instructions; ability to maintain records, legal documents, files and store items numerically, alphabetically or by classification; ability to perform data entry into a computer system; ability to perform basic math computations; ability to work effectively and harmoniously with others; ability to lift/carry/push/pull up to 5lbs as needed; ability to maintain sensitive or confidential information.
